Calendly is your scheduling automation platform for eliminating the back-and-forth emails to find the perfect time, making scheduling easier than ever. With Calendly, you can focus on what truly matters — creating meetings that people love, fostering productive and meaningful interactions.

Calendly is a scheduling platform that syncs with your connected calendar. When you share your Calendly link, invitees can view your availability and select a time that works for both parties. Calendly checks for events marked as 'Busy' on your calendar and interprets them as conflicts, preventing invitees from scheduling new meetings at those times. 

Once a time is chosen and the meeting is scheduled, it is automatically published to your connected calendar and appears in your Calendly Meetings page. Both you (the host) and your invitee receive confirmations of the scheduled meeting by email, facilitating the coordination of meetings, appointments, and more.

Let's explore some of the core features and functionality of Calendly that help streamline your scheduling process.

Event Types

Event types are at the core of Calendly, and are key to streamlining scheduling. Think of an event type as a meeting template that you'll use repeatedly. Any external meetings that you host regularly is a good candidate for an event type. It could be objective-based, like a product demo or an interview, or time-based, like a flexible thirty-minute phone call. Let's dive deeper into the different event types you can create!  

Individual event types 

  • One-on-one: A one-on-one event type is a meeting between a Calendly host and an invitee. Some common ways to use a one-on-one event type include:
    • A phone screening with a candidate
    • Office hours with a student
    • Coffee chat with a client, colleague, or friend

  • Group: A group event type is a one-to many meeting, with one Calendly host and multiple invitees. Some common ways to use a group event type include:
    • Webinars
    • Museum or campus tours 
    • Group fitness classes
    • Admissions sessions for a university

Multi-person event types

  • Round robin: A round robin event type is a one-on-one event that's cycled through your team, depending on your team's availability or distribution preferences. Some common ways to use a round robin event type include:
    • A sales call where a lead can be paired with any sales agent
    • Onboarding calls where new customers can connect with anyone on the client services team

  • Collective: A collective event type is a many-to-one meeting, with multiple Calendly hosts and one invitee. This event type allows a single invitee to book with multiple Calendly hosts at one time. Some common ways to use a collective event type include:
    • Panel interviews 
    • Product discovery calls
    • A client call hosted by an account executive and sales development rep

More ways to meet

One-off meetings

One-off meetings offer a quick and flexible way to host a one-time, high priority meeting that doesn't match your regular event type configurations. This type of meeting is useful when you to:

  • Quickly schedule a non-standard meeting with one or more hosts.
  • Offer your invitee times that fall outside of your regular availability. 
  • Give a meeting higher priority over your existing meetings.

Meeting polls

A Calendly Meeting polls combines both voting and scheduling into a seamless process. You create the meeting details and propose times, participants vote on their preferred times, and then you select the best time for Calendly to schedule the meeting.

Managed Events

Managed events are reusable event types that admins can edit, lock, update, and assign to users, helping standardize meetings and enhance control over your organization's scheduling experience.

Workflows

Calendly members on our Standard subscription or higher can send automatic reminders, follow-ups, and other messages to invitees before or after booked meetings using Workflows, to reduce no-shows and ensure a great invitee experience.

Calendly Routing 

Calendly members on our Teams subscription or higher can automatically route leads and prospects to the most suitable team member based on their expertise or availability. This allow for direct routing from Calendly forms or from your existing HubSpot, Pardot, or Marketo forms.
