Schedule with video conferencing


Calendly has built integrations with the following video conferencing platforms:

  • Zoom
  • Google Meet
  • Microsoft Teams
  • GoToMeeting
  • Webex 

Once connected, Calendly will automatically generate video conferencing details when someone books with you. You and your invitee will also receive details via confirmation email and calendar event. 

Let your invitee choose how to meet

For personal event types, you can connect to multiple video conferencing platforms and offer your invitee multiple options to choose from. 


If you use a different platform

If you use a video conferencing platform that Calendly does not integrate with, follow the steps in How to use other video conferencing options.

How to schedule a meeting with video conferencing

In this article:

Step 1: Connect your Zoom account

  1. Visit your Integrations page and select Zoom.
  2. Select Connect Zoom.
  3. Sign in to your Zoom account.
  4. Select Authorize to let Calendly access your Zoom account. Note: If you see info about pre-approving, view Pre-approving Zoom.
  5. Once authorized, you'll be redirected to Calendly, and you'll see a pop-up confirming you've connected.

⚠️ Before you can schedule meetings with Zoom, you need to complete step 2.

Step 2: Select Zoom as your location 

To use Zoom for personal event types

  1. From your Home page, select the event type you want to use Zoom with.
  2. Select What event is this?
  3. From Location, select Zoom.
    Tip: If you'd like to offer choices to your invitee, you can select add a location option. Your invitee can choose between meeting via Zoom, Google Meet, or a phone call, for example.  
  4. Select Save & Close.

Repeat these steps for each event type you'd like to use Zoom with.

To use Zoom for one-off meetings

Once you've completed Step 1: Connect your Zoom account, you can select Zoom as you create a one-off meeting.


To use Zoom for team event types

You can set Zoom as the location for round robin and collective event types.

  1. From your Home page, select the round robin or collective event type you want to use Zoom with.
  2. Select Team Members & Location or Hosts & Location
    • For round robin events, select Zoom as the location for the team members who'd like to schedule with Zoom. The team member must complete Step 1: Connect your Zoom account before they can schedule with Zoom. An admin or owner cannot connect on their behalf. 
    • For collective events, select the Zoom organizer. As the Zoom organizer, your Zoom account will be used to host the meeting. You can select a different Zoom organizer, as long as the other user has connected their Zoom account to Calendly.
  3. Select Save & Close.

Step 3: Meet over Zoom

As your invitee navigates through the booking flow, they'll see the following details about web conferencing: 

After your invitee books, you and your invitee will receive Zoom details via confirmation email and calendar event. 


The meeting will also show in your Zoom account under Upcoming Meetings.
