How to create a One-off meeting

Use a One-off Meeting to host a one-time, high-priority meeting that doesn’t fit your regular event types. You can choose a custom duration, location, and hosts.

For example, you can:

  • Set up a one-time meeting with one or more hosts
  • Offer times outside your usual availability
  • Prioritize a meeting over existing events

Before you begin

  • If you’re using video conferencing for the meeting location, make sure to connect your account through the Integrations & apps page.
  • You can only select time slots that are no more than 3 months apart.
  • Buffers and meetings appear as one block. For example, if your event has a 30-minute buffer and a 30-minute duration, the time slot will appear as a 1-hour block.

Create a One-off meeting

Choose times to offer

  1. Go to the Scheduling page.
  2. Select + Create, then choose More ways to meet > One-off Meeting.
  3. Set your time zone, meeting duration, and any additional hosts.
    • Invitees will see the times in their own time zone.
  4. Pick time slots from the calendar.
    • You can select time slots over non-Calendly meetings.
    • You can also choose slots outside your available hours.
    • To select all free times for a day, go to that day and select + Add times at the top.
  5. After choosing time slots, select Next.

Set up meeting details

  1. Enter the meeting name and location.
  2. Add an optional description or instructions.
  3. Adjust any of the Optional settings.
  4. Select Share meeting link.

Share your One-off meeting link

Calendly generates a unique link for your meeting. You can edit the link ending or preview the booking page using View live page.

When you're ready, select Copy Link and share it. You can also copy and paste times in an email with the Add times to email feature.

Where to find your One-off meeting

After sharing your link, you’ll find the meeting under Scheduling > Single-use links. Once your invitee books it, the meeting can be viewed from the Meetings page.

Reserve times

Turn on Reserve Times to temporarily hold the time slots you’ve offered. This blocks time on your calendar (and your co-hosts’ calendars) with placeholder events.

Once an invitee books, those placeholders clear automatically, and the meeting appears on your Meetings page. It may take a few minutes for reserved times to fully clear. 

To clear reserved times manually:

  1. Go to Scheduling > Single-use links.
  2. Find the one-off meeting and select the three-dots-icon.png three dots.
  3. Select Clear reserved times.
  4. Select Clear reservations to confirm.

Frequently asked questions

Can I reuse a One-off Meeting link?

No. It expires after it’s booked and can’t be used again.

Can I apply Workflows to One-off Meetings?

Not yet. Workflows only apply to regular event types.

Will Reserve Times affect my other event types?

Yes. Reserved slots won’t appear as open on your regular booking pages. Use the Troubleshoot tool to confirm.

Can I clear only some reserved time slots?

No. When you clear reserved times, all placeholder events are removed at once.
