How to create a Routing Form

Overview

With Routing Forms, you can direct visitors to specific people or destinations based on factors like industry, company size, and interests.

Once your form and routing logic are built, Calendly gathers visitor details and automatically routes them to the right person or team based on the conditions set in your routing rules.

This article will cover instructions for creating a form from scratch. For integrating a form from another source, check out this article.

Before you begin

  • Only owners, admins, and group admins can create Routing Forms.
  • From the Routing Forms page, all users can view and share Routing Forms.
  • For a user to edit a form, owners or admins must grant them editing permissions.

Step 1 - Create your form

  1. From your Home page, select Routing from the navigation panel on the left-hand side.
  2. Select New routing form, then choose Create a new form.
  3. Enter a name for your form, and select Create form.

Step 2 - Edit form settings and add questions

In your form, you can choose to include a headline and/or a description. You can also customize the text on the submission button.

  1. To add a question, select Add a question and choose your preferred format.
  2. Complete the question settings, then select Save.
  3. Continue adding form questions, as needed.
  4. When you're finished, select Next.

Step 3 - Set up routing logic

Create a route

  1. From the Routing logic tab, select Create.
  2. Choose Use form answers to use answers from your Calendly form.
    • For other options, review these articles on Salesforce lookup and HubSpot lookup.
  3. Fill out the settings for your condition by selecting a question, qualifier, and answer.
    • To add another qualifier and answer for a condition, choose or or and.
  4. To include more questions, select Add another question.
  5. Once your conditions are complete, select a Destination from the list:
    • Event Type: Route qualified visitors to an event type. 
    • Custom message: Route disqualified visitors to a message.
    • External URL: Route visitors to another page.
  6. When you're finished, select Save.

Fallback route

  • Your form includes a fallback route that applies to visitors whose responses don't match any of the existing routes.
  • By default, this route displays a custom message. To edit the message or change the destination, select the route information.

Step 4 - Preview and publish your form

  • We recommend previewing and testing your form before publishing by selecting Preview form.
  • In the popup window, you can test the routing logic by filling out and submitting the form. Your responses won’t be recorded during preview.
  • Once your form is ready, select Publish form.

Step 5 - Share your form

After publishing the form, a popup window will display the following sharing options:

  • Share a link: Copy the link to share in a message.
  • Add to website: Embed the form directly on your website.
