How to send recaps to your CRM and other apps

Notetaker and its integrations are rolling out in stages. You may have access to Notetaker, but not its integrations yet while we continue to build and test. Join the Notetaker waitlist.

Notetaker can send meeting recaps to tools your team already uses, like Salesforce and HubSpot.

When a recap is created, you can automatically send the summary, transcript, and key details to your CRM or other apps. This helps your team:

  • Keep records up to date
  • Reduce manual note-taking
  • Share insights faster
  • Follow up with confidence

Connect Notetaker to Salesforce

If you use Calendly’s Salesforce package version 2.8, you can send meeting recaps directly to Salesforce.

Not using version 2.8?

Go to your Salesforce integration page in Calendly and select the banner to upgrade.

Send recaps to Salesforce

  1. At the top right corner of your Scheduling page, select the account icon.
  2. Choose Notetaker settings.
  3. Toggle on Push recaps for Salesforce.
  4. Select Save changes.

Connect Notetaker to HubSpot

Connect Notetaker to HubSpot to keep contact and deal records updated with details from your Notetaker recaps.

Send recaps to HubSpot

  1. At the top right corner of your Scheduling page, select the account icon.
  2. Choose Notetaker settings.
  3. Toggle on Push recaps for HubSpot.
  4. Select Save changes.

Send meeting recaps to other tools with Zapier

You can use Zapier to send Notetaker recaps to many other apps.

When a recap is created in Calendly, Zapier can trigger actions in another tool. This lets you share meeting recaps automatically, so you don’t need to copy and paste them after each meeting.

For example, you can:

  • Post recaps to Slack
  • Add recaps to Notion or Confluence
  • Save summaries to Google Docs
  • Log recording links in Google Sheets

To set this up, create a Zap in Zapier and choose Recap created as the Calendly trigger. This trigger runs each time a new recap is created.

After that, you can send recap details, like the summary or recording link, to another app.
