We've improved availability management and the event type editor, now in public beta for select users. If you're currently in the beta, learn more about how we've simplified availability below.  

 

Your availability in Calendly is the combination of your set schedule, holidays, and busy times from your connected calendar(s). You can manage all of these settings on the Availability page.

For example, you can:

  • Set your default schedule on the Availability page for times when you're available for meetings.
  • Choose which holidays you want to observe across all of your scheduling links.
  • Manage which calendars Calendly uses to check for conflicts and add new events.

Note

Some users still have a 'Time Off' setting from an earlier version, but it will be removed on November 12th. Moving forward, you can easily block specific dates and times using Date-specific hours.

If you've set Time Off, make sure to update your unavailable dates in your Date-specific hours on the Availability page under Default schedule. You can also block the time in your connected calendar.

Before you begin

Set your account time zone and location from the Profile section of your Account settings.

What's new?

  • Refreshed Availability page: All your availability settings, such as default schedule, holidays, and calendar settings will now be managed in your Availability page, accessible from the left side menu.
  • Default schedule: 'Schedules' are now one default schedule. Set and apply your default schedule across your chosen event types, simplifying your scheduling process and ensuring consistency across your events.
    • If an event type needs different availability from your default schedule, you can adjust it in the Availability section of the event type editor. To set custom hours for specific dates, use the date-specific hours option.

Best practices

For a user:

  • Setting your default schedule for multiple event types?
    • In the Default schedule section of your Availability page, use the Active on dropdown to select which event types your schedule will apply to.
  • Want Calendly to block off your availability for holidays you observe? 
    • In the Holidays section of your Availability page, use the toggle switches to select which holidays you observe. 
  • Looking to connect or manage your calendar(s)?
    • In the Calendar settings section of you availability page, choose which calendars Calendly should check for busy times and where to add scheduled meetings.

For an owner/admin:

  • Each team member needs to connect their own calendar(s) to their Calendly account.  
    • You can view each team member's calendar connections on the Users page in your Admin center or by viewing their individual profile.
  • Use event type permissions to control who can edit event types, even if they aren't the assigned host.
    • This allows others to manage availability settings for specific event types.
