Your availability in Calendly combines your set schedule, holidays, and busy times from your connected calendars. Manage these settings on the Availability page.
For example, you can:
- Set a Default Schedule: Choose when you're available for meetings and apply it to event types.
- Observe Holidays: Select holidays to block off time across all scheduling links.
- Manage Calendars: Choose which calendars Calendly uses for conflicts and where new events are added.
Before you begin
Set your account time zone and location from the Profile section of your Account settings.
What's new?
- Refreshed Availability page: All your availability settings, such as default schedule, holidays, and calendar settings will now be managed in your Availability page, accessible from the left side menu.
-
Default schedule: 'Schedules' are now one default schedule. Set and apply your default schedule across your chosen event types, simplifying your scheduling process and ensuring consistency across your events.
- If an event type needs different availability from your default schedule, you can adjust it in the Availability section of the event type editor. Updating available hours from the event type editor automatically removes the event type from your default schedule.
- To set custom hours for specific dates, use the date-specific hours option.
Best practices for users
- Apply your Default Schedule: In the Availability page, use the "Active on" dropdown to apply your schedule to multiple event types.
- Observe Holidays: Toggle the holidays you observe to block availability automatically.
- Manage Calendars: Choose which calendars Calendly should check for busy times and where to add new meetings.
Best practices for owners/admins
- Connect Team Calendars: Each team member must connect their own calendars to their Calendly account.
- View Calendar Connections: Check team member calendar connections on the Users page in the Admin center or from their individual profiles.
-
Set Permissions: Use event type permissions to control who can edit event types, even if they're not the host.
- This allows others to manage availability settings for specific event types. Updating available hours from the event type editor automatically removes the event type from the host's default schedule.
