Working with multiple calendars and email accounts

Learn how to manage multiple calendars and email accounts in Calendly to streamline scheduling and avoid double bookings.

Connecting more than one calendar

Calendly checks all connected calendars to prevent double bookings. Depending on your plan, you can connect between 1 and 6 calendars. Visit our Pricing page to see how many calendars your plan allows.

If your plan supports more than one connection, follow the steps in How to connect your calendar to add more.

If your plan supports only one calendar connection, consider sharing other calendars directly with your connected calendar. Share with read and write permissions to be able to see the calendar in Calendly. For more info on sharing your calendar, see the resources linked below:

Note: Calendar connections apply to all event types. You can't link a specific event type to one calendar. For more control, consider adding another user to your Calendly organization.

Check multiple users' calendars

Calendly can manage multi-person scheduling in several ways, depending on your use case. See the collection of articles below for more details:

Send notifications to multiple email addresses

By default, Calendly sends host notifications to your account's login email address. To send notifications to additional addresses or team members, users on the Standard plan and higher can use the Email someone else Workflow

For those without access to Workflows, notifications can be sent to additional email addresses by setting up forwarding with your email provider.

  • For Google users: Add a forwarding address in Gmail settings, then create a filter. To forward all Calendly notifications, filter by sender addresses notifications@calendly.com and
no-reply@calendly.com. You can also filter by event titles in the subject line for specific events.
  • For Office 365 or Outlook.com users: Set up a forwarding rule in the Outlook Web App. The steps for Outlook desktop users may vary depending on the version.
