Beta
We've improved availability management and the event type editor, now in public beta for select users. If you're in the beta, check out this article to learn more.
Whether you're currently in the beta or not, you'll find the information you need to schedule with multiple groups of hosts here in this article.
If you are on our Teams and Enterprise plan and need a more advanced multi-person event, you can take advantage of our enhanced Collective and/or Round Robin features. This lets you set a multi-person event with a mix of hosts that will always attend and rotating pool(s) of other hosts.
For example, you can set up:

A product demo with the Account Executive and a Sales Engineer. The Account Executive would always attend, and a Sales Engineer will be assigned from a Round Robin pool.

A panel interview with the hiring manager, a team leader, and a peer. The hiring manager would always attend, and a team leader and peer would be assigned from two different Round Robin pools.
Setting up advanced collective and round robin meetings
To get started, you'll want to create a new Collective or Round robin event type. It will not matter which you choose to start, as you will be able to add your hosts however you need with either option.
- Select +Create.
- Select Event type.
- Choose a Round robin or Collective event type.
- Set your event name and duration.
- Add your hosts
- To add hosts that will always attend, search for their name under Hosts
Beta
For users in the beta, you can add hosts that will always attend by expanding the Hosts section in your event type editor and selecting + Add co-host.
- To add hosts to a round robin pool, select + Add Round Robin hosts to pool. For more information on how round robin distribution works, take a look here.
- To create a new round robin pool, click to Add hosts and round robin pools then select +Create a round robin pool.
Beta
For users in the beta, you'll be able to add hosts to a round robin pool or create a round robin pool by expanding the Hosts section in your event type editor and selecting + Add rotating-host.
To add a new round robin pool, select + Create a round robin pool.
- To add hosts that will always attend, search for their name under Hosts
- Set your location.
- If you have at least one host who will always attend, you will be able to set your location at the event type level
- If you have only round robin host pools, you can set the location individually for each host in your first round robin pool.
- Click Continue.
- From here, you can further customize your event type, or start sharing your link.
Note
An event with multiple groups of hosts cannot be rescheduled and/or re-assigned to a team member via Calendly's Meetings page. More information on this feature can be found here.
