Shared Round Robin Event Types let you create a rotating event with other users in your Calendly organization, without needing a team page or admin assistance. Invitees are automatically booked with the next available host.
For example, you can set up:
- A sales call with the first available rep
- An onboarding call with client success
- A phone screen with a recruiter
Before you begin
- The hosts must already be users in your Calendly organization.
- If you'd like to organize and host these events through a team landing page, consider creating a team Round Robin event.
- To include both required and rotating hosts in one meeting, you can set up an event type with multiple host pools. Available on our Teams and Enterprise plans.
Create a shared Round Robin event
- Go to the Scheduling page.
- Select the + Create button > Round robin.
- Enter an Event name and set the Duration.
- Under the Hosts section, a default round robin pool is created with you as a host.
- Select the pool to open its settings.
- In the pop-up window, edit members and choose the distribution method.
- Select + Add to add teammates to this pool.
- To remove a host, select the X next to their name.
- Set your Rescheduling preferences.
- Set the Location for this event type.
- You can set the location for each host or apply the same location to all hosts.
- Set the Availability settings for this event type.
- Set the date range options.
- Choose to set the schedule for each host or apply the same hours to all hosts.
- Select Create.
