Taxes and your Calendly subscription

Calendly assesses applicable taxes on subscriptions fees as required by local law. Depending on your location, you may be charged tax when purchasing a paid plan. Prices on our website do not include tax.

The jurisdictions that Calendly does charge or will soon be charging tax in, along with further information about requirements, are noted within the Jurisdiction section below.

Jurisdictions

United States

Calendly is required by law to collect sales tax for members' paid subscriptions in the states listed below. If your state is not listed, you will not need to provide sales tax documentation and not be charged sales tax.

As state requirements or eligibility rules change, more states may require Calendly to collect sales tax.

How to submit sales tax exemption documentation

If your state is listed above and you are upgrading from Free to a paid plan, submit your valid tax-exempt documentation to billing@calendly.com. Once the documents are successfully processed, a refund will be issued for tax incurred on the first invoice.

If your state is listed above and you have an existing paid plan, submit your valid tax-exempt documentation to billing@calendly.com. Once the documents are successfully processed, exemption status will take effect on the next invoice, and cannot be retroactively applied.

European Union (EU)

To determine which tax and tax rate is applied to your Calendly bill, we will primarily use your billing address. If you are a business and have entered a company address in your tax information, your tax rate will primarily be based on your company address. It is your responsibility as a customer to ensure that your address is accurate.

Calendly is required to charge Value Added Tax (VAT) on services provided to certain customers within EU Member States. Subsequently, Calendly will remit the collected VAT to the local tax authorities. The countries that are currently EU Member States are: Austria, Belgium, Bulgaria, Croatia, Cyprus, Czech Republic, Denmark, Estonia, Finland, France (including Monaco for the purposes of VAT), Germany, Greece, Hungary, Ireland, Italy, Latvia, Lithuania, Luxembourg, Malta, Netherlands, Poland, Portugal, Romania, Slovakia, Slovenia, Spain and Sweden.

If you are a business customer, you should provide your VAT Identification Number (VAT ID number) and company information (legal name, address) to Calendly. If the VAT ID number is valid, in principle, no VAT should be charged on your subscription. If you do not have a valid VAT ID number, then VAT may be charged on your subscription.

In order to be considered a valid VAT ID number, the VAT number you provide must be registered on the VIES database. Calendly will use the VIES database (an official database for checking the validity of VAT ID numbers issued by EU Member States) to validate VAT ID numbers. In some EU Member States, inclusion of a VAT ID number on the VIES database is not automatic. As such, you may need to apply to your relevant tax authority for your VAT ID number to be included on the VIES database.

United Kingdom

To determine which tax and tax rate is applied to your Calendly bill, we will primarily use your billing address. If you are a business and have entered a company address in your tax information, your tax rate will primarily be based on your company address. It is your responsibility as a customer to ensure that your address is accurate.

Calendly is required to charge Value Added Tax (VAT) on services provided to certain customers within the UK (including the Northern Island jurisdiction). Subsequently, Calendly will remit the collected VAT to the local tax authorities.

If you are a business customer, you should provide your VAT Identification Number (VAT ID number) and company information (legal name, address) to Calendly. If the VAT ID number is valid, in principle, no VAT will be charged on your subscription. If you do not have a valid VAT ID number, then VAT may be charged on your subscription.

A VAT ID number in the UK is a nine-digit number. Calendly will validate VAT numbers to confirm they are valid. Calendly reserves the right to request payment of VAT for any invoices issued by Calendly without VAT where an invalid VAT number is provided by the customer to Calendly.

Australia

Calendly is required to charge Good and Services Tax (GST) on services provided to certain customers within Australia. Subsequently, Calendly will remit the collected GST to the local tax authorities.

If you are a business customer and are registered for GST, you should provide your Australian Business Number (ABN) and company information (legal name, address) to Calendly. If the ABN number is valid and you are registered for GST, in principle, no GST should be charged on your subscription. If you do not have a valid ABN number or you have an ABN number but are not registered for GST, then GST may be charged on your subscription.

An ABN is a unique 11-digit number that identifies a customer who conducts business in Australia. Calendly will use the Australian Business Register (an official database for checking the validity of ABN numbers and GST registration) to validate ABN numbers and GST registration. If the information provided is found to be incorrect, Calendly reserves the right to charge and collect an additional amount in respect of GST related to the transactions.

India

Canada

To determine which tax and tax rate is applied to your Calendly bill, we will primarily use your billing address. If you are a business and have entered a company address in your tax information, your tax rate will primarily be based on your company address. It is your responsibility as a customer to ensure that your address is accurate.

Calendly is required to charge Goods and Services Tax (GST) on services provided to customers in Canada. Calendly is also required to charge Harmonized Sales Tax (HST) and Provincial Sales Tax (PST, or QST in Québec) on services provided to customers located in certain Canadian provinces.

If you are a business customer, you should provide your GST/HST number and company information (legal name, address) to Calendly. A GST/HST account number is a unique 9-digit number activated by the Canada Revenue Agency that identifies a person as registrant for GST/HST purposes in Canada. If the GST/HST number is valid, in principle, no GST/HST should be charged on your subscription. If you do not have a valid GST/HST number, then GST/HST may be charged on your subscription.

For business customers located in Québec, you should provide your QST number and company information (legal name, address) to Calendly. A QST account number is a unique 10-digit number issued by Revenue Quebec that identifies a person as a registrant for QST purposes in Quebec. If the QST number is valid, in principle, no QST should be charged on your subscription. If you do not have a valid QST number, then QST may be charged on your subscription.

For business customers located in British Columbia and Saskatchewan, you should provide your PST number and company information (legal name, address) to Calendly. If you are purchasing Calendly for your own business use, PST will be charged on your subscription.
