How to manage your Zoom meeting settings

When using Zoom with Calendly, you can adjust a few optional settings in your Zoom account that control how meeting links are generated and how invitees join. This article walks through how to use a Personal Meeting ID (PMI), enable passcodes, turn on a waiting room, and adjust dial-in options.

Before you begin

Use your Personal Meeting ID (PMI)

By default, Calendly creates a new Zoom link for each meeting. To reuse the same link each time, enable your Personal Meeting ID (PMI) in Zoom.

Add passcodes to Zoom meetings

When Zoom passcodes are enabled, Calendly will automatically include a unique passcode in each Zoom meeting invite.

For users on a Zoom Basic plan

Meeting passcodes are enabled and locked by default on all Zoom Basic plans. No additional action is required. 

For users on a paid Zoom plan

Passcode settings must be enabled in your paid Zoom account. If you're part of a Zoom organization, your Zoom admin may need to turn this on this setting.

Turn on the waiting room

Zoom's waiting room feature controls when participants can join your meeting. If enabled, invitees must wait to be admitted by the host.

Adjust dial-in and audio options

You can change your Zoom settings to control how one-tap mobile and dial-in numbers appear when someone books time with you through Calendly.

Manage one-tap mobile and dial-in numbers

Zoom shows one-tap mobile and dial-in numbers if your Zoom meeting audio type is set to Telephone or Telephone and Computer Audio. To remove dial-in numbers, switch your Zoom audio type to Computer Audio only

Choose global dial-in countries or regions

Use Zoom’s Global dial-in countries/regions setting to choose which countries or regions appear in your meeting invites for participants who may need to dial in.

Manage the Find your local number link

Zoom can include a Find your local number link in meeting invites, which directs participants to a page of international dial-in numbers.
