How to set up a meeting poll

 

Overview

Meeting polls make it easy to coordinate schedules with a group. Offer multiple time options for invitees to vote on, and conveniently book the best time that works for everyone.

Step 1 - Choose times to offer

  1. Go to your Home page in Calendly or open the Calendly extension.
  2. Select +Create, then choose More ways to meet > Meeting poll.
  3. Set your time zone, meeting duration, and if needed, additional hosts.
    • Invitees will see the times in their own time zone.
  4. Select up to 40 times on the calendar for invitees to vote on. You can:
    • Include overlapping times.
    • Remove times using the x/40 times selected option or Clear all.
  5. Select Next.

Step 2 - Set up meeting details

  1. Enter the meeting name and location.
  2. Add an optional description or instructions.
  3. Adjust any of the Optional settings.
  4. Select Share meeting poll.

Note

If Reserve times is turned on, Calendly will temporarily hold all offered times on your calendar until a meeting is scheduled or the poll is deleted. These holds may take a few minutes to update.

Step 3 - Share your meeting poll link

Calendly generates a unique link for your poll. You can edit the link ending or preview the poll using View live page. When you're ready, select Copy Link and share it with invitees. They'll use the link to vote on their preferred times.

From the Meetings page, go to the Pending tab to:

  • View, copy, edit, or delete your polls.
  • Book the meeting by choosing the best time, confirming the invitee list, and selecting Book Meeting.

Once booked, Calendly sends calendar invitations to you and your invitees with the meeting details.
