Send text messages with Workflows

Workflows allow you to automate and schedule text messages to yourself or your invitees. Use text messages to stay informed about upcoming meetings or remind yourself of follow-up tasks after they conclude. You can also reduce no-shows by sending automated reminders to invitees before meetings start.

How text messages are sent

Text messages are sent through Twilio, a third-party communication platform, using a randomly generated phone number (usually with a US area code, such as Atlanta). Messages are unmonitored, and invitees can opt in or out of receiving text messages at any time.

Some phone carriers in certain countries have strict filters that may block messages from being delivered. For more details, refer to Twilio's support article.

Guidelines for sending text messages

  • To offer high-quality text messaging features, Calendly has set a limit on the number of text messages organizations can send. To learn more, check out this article.
  • For Group event types, text messages are only available for meetings with 100 or fewer invitees. For larger meetings, consider using email Workflows instead.
  • Shared URL shortening services, such as Bit.ly, are not supported in text messages. Some carriers block these links, increasing the risk of messages being filtered or undelivered. For more details, refer to Twilio's support article

Text message character limits

  • Each text message can include up to 180 characters, and a real-time character count helps you track message length.
  • If a variable, such as an event type name, exceeds the character limit, the message will still be delivered without being cut off.
  • When including invitee answers from booking forms, Calendly automatically shortens each response to 40 characters or fewer to reduce the number of messages sent.

SMS Restrictions
Text messaging sent through Calendly must follow Twilio's Acceptable Use Policy. If Calendly detects any SMS messages that violate this policy, text messaging (SMS) functionality will be turned off for your account. These violations include but are not limited to messaging related to cannabis, gambling, firearms, etc.

We recommend reviewing Twilio's Acceptable Use Policy for a comprehensive understanding of these guidelines. It's essential to also emphasize that Twilio's Messaging Policy aligns with US carrier regulations, and exceptions to these standards are not permissible.
