Overview
With Calendly, you can easily manage your scheduled meetings from the Meetings page. This articles walks you through how to view meeting details, cancel or reschedule a meeting, and mark an invitee as a no-show.
Before you begin
- Owners, admins, and group admins can view and manage other users' meetings by using the My Calendly dropdown.
- You can include cancellation and rescheduling links in invitees' confirmation emails so they can manage their own meetings. For more details on customizing those notifications, check out this article.
View your meetings
To view your scheduled meetings, go to the Meetings page.
By default, you'll see upcoming meetings, but you can switch between tabs to view past meetings, meetings within a specific date range, or pending meetings. You can also use the Filter option to customize your view.
Expand any meeting to see details like invitee information, location, and invitee questions. From here, you can also take action on the meeting.
How to cancel a meeting
- Go to the Meetings page.
- Find your meeting and expand the details.
- Select Cancel.
- (Optional) Add a cancellation message.
- Select Yes, cancel to confirm.
How to reschedule a meeting
If you know your invitee’s availability, you can reschedule the meeting on their behalf. If not, you can cancel the original meeting and ask your invitee to choose a new time that works for them.
- Go to the Meetings page.
- Find your meeting and expand the details.
- Select Reschedule.
- Choose a new date and time for the meeting and fill out any questions.
- Select Update Event.
Once updated, you'll return to the Meetings page where the new meeting will show as rescheduled, and the old meeting will be canceled.
Updating the meeting location:
You can also change the meeting location during the reschedule process. When choosing the new date and time, simply select the same time and pick a different location, such as switching from a phone call to a video conferencing link.
Rescheduling a Round Robin:
When rescheduling a Round Robin meeting, do not use the invitee's rescheduling link from the invitation, as this could result in the meeting being scheduled with the wrong host.
Instead, always reschedule from the Meetings page. You'll have the option to follow the original Round Robin flow or manually select a team member.
Mark your invitee as a no-show
Calendly’s “no-show” feature allows hosts to mark whether or not an invitee attended a previously scheduled meeting. For more information, check out this article.
