Advanced booking form features

Calendly's invitee question features help you collect the right information from attendees. Whether you’re meeting one-on-one or hosting a larger event, you can customize your questions to save time and improve the experience for everyone.

This guide shows you how to use these features to make scheduling faster and more helpful.

Invitee name and email

By default, invitees must enter their name and email address to book with you.

You can choose how the name field appears:

  • One field: Name
  • Two fields: First Name, Last Name

To change the name fields:

  1. Go to your Event types page.
  2. Open the event type you want to edit.
  3. Select More options at the bottom.
  4. Expand the Invitee form section.
  5. Under Invitee details, choose your preferred name format.
  6. Select Save changes.

Autofill name and email from past bookings

You can let Calendly remember an invitee’s info and autofill it the next time they book. This includes:

  • Name
  • Email
  • Phone number (for text reminders)

By default, this is turned off.

To turn it on:

  1. Go to your Event types page.
  2. Open the event type you want to edit.
  3. Select More options at the bottom.
  4. Expand the Invitee form section.
  5. Check the box for Autofill Invitee Name, Email, and Text Reminder Phone Number (when applicable) from prior bookings.
  6. Select Save changes.

Collect phone numbers

If you need a phone number, add a new invitee question and set the answer type to Phone Number. This adds a phone field to your booking page.

To schedule your meeting as a phone call:

  1. In the Location section, choose Phone call.
  2. If you're calling the invitee, they’ll be prompted to enter their number.

Add guests to the meeting

Invitees can add up to 10 guests when booking. Guests get a meeting invite, and you’ll see all guest names on your Meetings page.

Guest invitations are turned on by default.

To turn them off:

  1. Go to your Event types page.
  2. Open the event type you want to edit.
  3. Select More options at the bottom.
  4. Expand the Invitee form section.
  5. Toggle Invitee guests off.
  6. Select Save changes.
