How to set up an event type

We've improved availability management and the event type editor, now in public beta for select users. If you're in the beta, check out this article to learn more.

Whether you're currently in the beta or not, you'll find the information you need to set up your first event here in this article.

Overview

Learn how to create an event type in Calendly and explore the different event types available to customize your scheduling experience. For more details on all event types, check out this article.


calendly_shapes23.png Step 1 – Create an event type

  1. From the Calendly Home page, select the + Create button and choose Event Type.
  2. Choose which type of event you are looking to host.
    • One-on-One: Good for coffee chats, 1:1 interviews, etc.
    • Group: Good for webinars, online classes, group training, etc. 
    • Collective: Good for panel interviews, group sales calls, etc.
    • Round Robin: Good for distributing incoming sales leads to multiple team members.

      For users in the beta, select the blue + Create button to create a new event. To create a Collective event type, One-off meeting, or Meeting poll, select More ways to meet

  3. Once you decide on an event, you will be brought to the New Event Type page.
  4. On this page, set up the following:
    • Event name: The name of your event.
    • Event color: The color of your event.
    • Duration: How long the event will be. 
    • Location: How and where both parties will meet at the scheduled time.
      • Video conferencing: If you want to use video conferencing as your event location, but haven't connected your tool yet, follow the steps in this article.
  5. Select Continue.

    For users in the beta, after setting the Event Name, Duration, Location, Availability, and Host(s) you will be able to select Create at the bottom of the event type editor. 

    Next, you can manage your other event type settings by selecting More options at the bottom of the event type editor.

    Finally, review your event type settings. You'll be able to customize the following sections:

    • Event details
    • Hosts and invitees
    • Scheduling settings
    • Booking page options
    • Notifications and workflows

    Beta

    For users in the beta, you can preview your live booking page by selecting Show preview at the top of the event type editor.

    Review the time slots your invitees will see when booking this event. As you create the event, a booking page preview will automatically update with any changes you make.

    This preview reflects what invitees will see when they access your booking link. To view the live page at any time, click View live page in the upper right corner.

    In the top left corner of the event type editor, select Share to give invitees access to schedule meetings with you.

    You'll see the following options for sharing your event: 

    • Share a link
    • Add times to email
    • Add to website
