How to set the location for your event type

In the Location section of your event type, choose how you want to host your meeting. You can meet:

  • In person
  • By phone
  • Over video
  • At a custom location
  • At a location your invitee provides

Set the location

  1. From your Event Types page, select the event you want to edit.
  2. Open the Location section.

You can now choose one or more of the following:

In-person meeting

  1. Enter the address or meeting place.
  2. Want to add more details? Select + Add a note.
  3. Select Save changes.

Phone call

  1. Choose one:
    • Require invitee's phone number
    • Provide a phone number to invitees after they book
  2. Select Save changes.

Tip: Choose Require invitee's phone number to reduce no-shows. Calendly will add a phone number field to the booking page.

Video conferencing

To meet over video, first connect your video conferencing tool to Calendly.

Custom location

  1. Enter your custom location (this could be a static video link).
  2. Choose to show it:
    • On booking page
    • Only after booking confirmation
  3. Select Save changes.

Invitee provides the location

  1. Select Ask invitee.
  2. Calendly will add a location field to the booking page.
  3. Select Save changes.

Add multiple location options

To let invitees choose a location:

  1. Select + Add location.
  2. Choose another location type.
  3. Repeat as needed.

When you're done, select Save changes, or move to the next section of your event type.

After an invitee books

Calendly will share the location details in:

  • The confirmation page
  • The calendar event
  • Email or text notifications

Need to change a scheduled meeting’s location?

Once a meeting is booked, its settings are locked. To change the location:

  1. Update the event type's Location section.
  2. Go to your Meetings page.
  3. Find the meeting.
  4. Reschedule it for the same time and date with the new location.
