How to schedule with conference rooms

Conference rooms are commonly used for conference calls, board meetings, management reviews, and more. If you're looking to assign a conference room as an event location within your Calendly account, there are a few methods you can choose from to accomplish this:

  • Creating collective event types
  • Creating conference room sub-calendars 
  • Manually adding conference room

Collective event types

With a collective event type, Calendly can manage reservations for conference rooms or shared meeting spaces along with the schedules of your team members. This prevents shared rooms from being double-booked. 

  1. From the Admin center, add each of your conference rooms to your Calendly organization as additional users.
    • You will need to have a unique login email address for each conference room. 
  2. Visit your home page and click +Create.
  3. Select Event type then Collective.
  4. When adding hosts to your event type, add the conference room and the desired team member.
  5. Finish setting up the event type. For more information on setting up event types, see How to customize your event types.

Note

If you choose to use collective event types to manage your conference rooms, this will take up a paid seat for each conference room.

Sub-calendar & Zapier

This method works best when you are managing one conference room or shared meeting space.  

  1. Create a new "sub-calendar" in your connected calendar for your conference room. 
  2. Share the calendar with everyone who will be using the conference room.
  3. Use Calendly's Zapier integration to push Calendly meetings to the conference room calendar.
  4. Optional: Set your Calendly account to check the sub-calendar for conflicts if you don't wish to be scheduled at times when the conference room is occupied. 

Manually adding conference room to meetings

If you prefer to manually configure your conference rooms, you can edit your event's location on your personal calendar. We do not recommend this method for high volume situations.
