How to install the Outlook plug-in

The Outlook plug-in is a tool designed to connect Calendly to your desktop Outlook calendar if you are unable to use the Office 365/Outlook.com connection

Before you begin

Compatible versions

  • The Outlook plug-in is available for Windows only and is not available on Mac.
  • To use the plug-in, you’ll need:
    • Outlook 2007 or later
    • Windows XP or newer
  • The plug-in doesn't work with Outlook versions downloaded from the Microsoft Store. You’ll need the version from your O365 account.
  • Each Calendly account supports one plug-in connection only.

Outlook plug-in vs. Outlook add-in

The Outlook plug-in connects your Outlook calendar to Calendly to check for conflicts and add events. It is separate from the Outlook add-in, which allows you to share your scheduling links and availability from your Outlook toolbar.

Install the Outlook plug-in

To get started, contact our support team. They’ll send you a link to download the plug-in. You must be logged in to Calendly to access the link.

  1. Download the plug-in and save the file.
    • If you see a security pop-up, be sure to allow permissions to begin installing. Depending on your browser, you may need to locate and open the downloaded file to run the installation.
  2. Calendly will generate a unique key for you to copy and paste into your plug-in settings. Enter your plug-in key.

  3. Choose which calendar accounts you want to check for conflicts.
    • Busy events on these calendars will be marked as unavailable.
  4. Select the calendar where you'd like new meetings to be added.
  5. Select Save.

Sync the Outlook plug-in

The plug-in will only sync when it is running in the background and your computer is connected to the internet.

To manually sync your meetings:

  • Open the plug-in.
  • Click Sync Now in the bottom-left corner.

You’ll see the date and time of the last sync between Outlook and Calendly.

Why am I available during Tentative, Away/Out of Office, or Working Elsewhere events?

To choose how you'd like Calendly to read the Tentative, Away/Out of Office, and Working Elsewhere statuses you set in your calendar, set your preferences using the What's considered unavailable? dropdown in the Calendars to check for conflicts section of your Calendar settings.
