How to use the Calendly extension for Google Calendar

The Calendly extension for Google Calendar helps you track, reschedule, and follow up on events, with easy access to manage meetings directly from your calendar.

For example, you can:

  • See which meetings on your calendar were scheduled through Calendly.
  • Access the event types invitees are using to book. 
  • Reschedule invitees quickly.

Before you begin

Enable the Calendly extension in Google Calendar

  1. Open the Calendly extension from your web browser.
  2. Click the three vertical dots Three vertical dots.png at the top and select Settings.
  3. Locate the Google Calendar icon and select the toggle.

  4. Accept the Calendly permissions to enable the Google Calendar integration. 

Highlight Calendly events on your Google Calendar

Once the extension is enabled, you can choose to Highlight Calendly events by enabling the setting from the left side of your Google Calendar.

Once it's enabled, Calendly events will appear in Calendly blue with a Calendly icon in the upper left corner.

Reschedule and follow up on your meetings

Select a Calendly event on your Google Calendar and you'll see additional options from the Calendly extension at the bottom.

For an upcoming meeting, you can update the date and time by using the Reschedule button, and click the three dots button to view more details in the extension.

For a past meeting, you'll see a Follow-up actions button with these options:

  • Share availability
  • Book next meeting
  • Mark invitee as a no-show
  • Email your invitee
  • View meeting details

Permissions and privacy

When enabling the Google Calendar integration for the first time, Calendly will request additional permissions.

How does Calendly use these permissions? 

Calendly uses Gmail permissions to add a button with the Calendly icon to your Gmail toolbar. These permissions also help us track errors and analytics to improve your experience.
