Managed events are reusable event types that admins can edit, lock, update, and assign to users to help standardize meetings. They also provide admins more control over your organization’s scheduling experience.
For example, you can:
- Assign event types from one place
- Onboard users faster, and prevent duplicate event setup
- Lock your event type settings (Teams and Enterprise only)
- Automatically push updates to assigned events (Teams and Enterprise only)
Before you begin
- Owners and admins can create, edit, and assign managed events for all users.
- Group admins can edit and assign managed events for their group members.
Best practices
Meetings that are ideal for managed events include demo calls, advising sessions, and candidate screenings.
For an owner/admin:
- Owners and admins on our Teams and Enterprise plans can allow or disable editing by assignees for each section.
- Disabling editing acts as both a lock and sync functionality. If you allow editing in a section, any updates you make to that section of the template will not sync to the assigned users.
- If you decide to disable editing and update a section, your changes will override any updates made by an assignee when the section allowed editing.
-
Timezone display, Start time increments, and Event slug (previously Event link) have been combined into the Booking page options section in the new editor.
Editing for Timezone display and Start time increments will be enabled or disabled based on what the Event slug (Event link) was set to before the updates.
- The Location does not lock, allowing users to edit this section and choose which location works best for them.
- Tip: We recommend leaving the Location section of the event empty. Calendly will prompt the user to enter their preferred options.
For a user:
- You'll know an event type is a managed event by the Admin managed icon at the top of the event type card.
- You can manage the permissions of your managed events. See How to edit event type permissions.

Troubleshooting
If you're on our Teams and Enterprise plans, verify that the Allow editing by assignees setting in that section is turned off.
On the Professional plan, you can un-assign and reassign a managed event to push updates out to assignees. This will also clear any customizations the assignee has made to their version of the managed event.
The ability allow and disable editing of managed event types is available on our Teams and Enterprise plans. Admins should verify that the Allow editing by assignees setting in that section is turned off. For more information, check out this article.
