Managed Events overview

Managed Events help your team stay aligned by using shared event templates. Admins can set up events, control which parts teammates can edit, and sync updates across all shared versions.

For example, you can:

  • Share a company-wide event type that updates in real time.
  • Let users personalize their booking links while locking the rest.

Before you begin

  • You must be a Calendly owner or admin to create or manage them.
  • Each team member gets their own version, linked to the template.
  • Changes sync only for sections you’ve locked (editing turned off).
    • Teams and Enterprise plans: You can manage editing permissions for each section.
    • Professional plan: You can update events by un-assigning and reassigning them.
      This replaces the user’s version and removes any custom edits they made.

What else can you do with Managed Events?

  • Turn off editing for specific sections to sync updates automatically.
  • Let users adjust their own availability or reminders while keeping branding consistent.
  • Use templates for different teams, such as Sales, Success, or Recruiting.

Best practices

For a user:

  • You'll know an event type is a managed event by the admin-managed-icon.png admin managed icon at the top of the event type card.

  • You can manage the permissions of your managed events.

For an owner/admin:

  • Owners and admins can allow or disable editing for each section of a Managed Event.
  • If editing is disabled, the section is locked and stays synced with admin updates.
  • If editing is enabled, updates made by the admin won’t sync to users.
  • If you later disable editing, your next update will override any changes users made when editing was allowed.
  • Location is always editable.
    • Tip: Leave the Location field blank so users can add their preferred options.

Frequently asked questions

Can team members edit their event settings?

Only if you allow it. You can enable or disable editing by section when you set up the Managed Event.

What happens when I update a Managed Event?

Calendly syncs updates to all shared events — but only for the sections where editing is turned off.

Can I convert a regular event to a Managed Event?

Not directly. You’ll need to create a new Managed Event and reassign it to your team.

What event types can I create as a Managed Event? 

Currently, you can create One-on-One events or Group events as Managed Events. 

Troubleshooting

Changes didn’t sync to team members — why?

Check if editing is enabled for that section. Updates only sync when editing is disabled.

Team members can’t see their events

Make sure the Managed Event was assigned to their account and they are in the correct team.
