Calendly + Mailchimp

Automatically add Calendly invitees to your Mailchimp audience and tag them to send follow-up emails or trigger marketing workflows. This saves you time and helps you stay connected with invitees.

For example, you can:

  • Add invitees to your Mailchimp audience when they schedule with you
  • Send targeted follow-up emails based on whether a meeting is booked, canceled, or rescheduled
  • Use tags to personalize messages

Before you begin

To use this integration, you’ll need:

  • A Calendly paid account with admin access
  • A Mailchimp account (free or paid) with admin access

Important for GDPR

If your invitees are in a GDPR region, they must give consent before you send them marketing emails.

  • If they opt in, they’re added as subscribers.
  • If not, they’re added as transactional contacts (they’ll only get order confirmations, reminders, etc.).

Connect Mailchimp to Calendly

  1. In Calendly, go to Integrations & apps.
  2. Select Mailchimp.
  3. Select Connect Mailchimp.
  4. Log into your Mailchimp account.
  5. Once connected, you'll see a confirmation message at the top of the screen.

Set up Mailchimp rules

  1. In Calendly, go to Integrations & apps.
  2. Select Mailchimp.
  3. For the event you want to automate, select Create a Rule.
  4. Choose the event type (e.g., 15-minute call).
  5. Select the Mailchimp audience to add invitees to.
  6. (Optional) Add one or more tags to these invitees.
  7. Select Save.

What gets sent to Mailchimp

We send these updates to your Mailchimp contact’s activity feed:

  • Booked-calendly-meeting
  • Canceled-calendly-meeting
  • Rescheduled-calendly-meeting

You can use these events for behavioral targeting which will let you create and send campaigns to a segment, or trigger an automated email.

Disconnect Mailchimp from Calendly

  1. In Calendly, go to Integrations & apps.
  2. Select Mailchimp.
  3. Select Disconnect, then confirm.

Note: Disconnecting Mailchimp will delete any Mailchimp rules you set up in Calendly.

Troubleshooting

My contact wasn’t added to Mailchimp.

My contact was unsubscribed but I want to resubscribe them.

Mailchimp blocks resubscribing without permission. See Mailchimp’s Resubscribe a Contact article for help.

My tags aren’t working.

Check that your merge fields in Mailchimp are mapped correctly. Calendly doesn’t validate merge fields. See Mailchimp’s Troubleshooting Merge Tags article.
