You can connect your email account to Calendly to see email conversations directly on your contact details page. This keeps all your communication in one place and helps you stay informed before meetings.
In this article, you'll learn how to:
- Sync your email from the Integrations & apps page or the contact details page.
- Fix permission issues if your email isn’t syncing.
Note
To send emails from your own email address on the Contacts page, connect Gmail to Workflows from the Integrations & apps page.
Set up email syncing
To view emails in contact details, you need to connect your email account to Calendly.
From the Integrations & apps page
- Go to Integrations & apps.
- Choose Gmail for Workflows.
- Select Sync Gmail messages.
- Follow the prompts to connect your account.
- Be sure to check the box to let Calendly View your email messages and settings.
From the contact details page
- Go to Contacts.
- Select a contact to open the contact details page.
- Open the Emails tab.
- Select Connect Gmail.
- Follow the prompts to connect your account.
- Be sure to check the box to let Calendly View your email messages and settings.
Reconnect Gmail if permissions weren’t granted
If you skipped the checkbox to allow Calendly to View your email messages and settings, your email won’t sync. You can fix this by reconnecting your Gmail account.
To reconnect:
- Go to Contacts.
- Look for the banner at the top that says, "Your Gmail account is disconnected. Reconnect to keep contact profiles complete and up to date."
- Select Reconnect.
- Follow the prompts to connect your account.
- Be sure to check the box to let Calendly View your email messages and settings.
Once access is granted, email activity will begin appearing on your contact details pages.
How Calendly stores emails
If you haven’t used your Calendly account in the last 90 days, your email sync will pause automatically. When you return, you’ll need to reconnect your Gmail account to restart the sync.
If you downgrade from a paid plan to the free plan, Calendly stops syncing and removes any emails that were previously synced.
