How to merge or migrate organizations

Need to transfer team members from one Calendly organization to another? Follow these steps to make sure the process goes smoothly.

Step 1 – Add seats to the new organization

Before you move anyone, make sure your new organization has enough open seats. You’ll need one open seat per user you plan to invite.

Once seats are available, you’re ready to move users.

Step 2 – Remove the user from their old organization

An admin from the user’s current organization must remove them first.

Removing a user from their organization does not delete any of their event types or settings.

Step 3 – Invite the user to your new organization

After they’re removed from their previous organization, you can invite them to join yours.

Once they accept, Calendly automatically assigns them to an open seat in your organization.

What information is migrated?

When users migrate to a new organization, Calendly brings over their key settings.

Attribute Transferred Description
Schedule Link The user’s personal scheduling link is retained.
Availability Settings Their working hours and availability settings are transferred.
Individual Event Types All personal (non-team) event types are migrated.
Routing Forms Routing forms do not transfer between organizations.
Team, Shared, & Managed Event Types These event types are tied to the original org and are not moved.
Managed Events Managed Events must be recreated in the new organization.
Connected Calendars Any external calendars already connected are preserved.
User-Level Integrations Includes tools like Zoom, Google Meet, and calendar connections.
Zapier & Payment Integrations Zapier and payment integrations (PayPal and Stripe) are not migrated.
User Profile Data Name, profile picture, and contact info move with the user.
Historical Data Past activity, like analytics, is not included.
Meetings All scheduled meetings remain on the connected calendar.
Billing Records Billing history stays with the original organization for tax purposes.
Org-Level Integrations Integrations managed at the org level (e.g. Salesforce, HubSpot, and Google Analytics) are not moved.

What are the limitations of account migration?

Account migration comes with a few limitations:

  • Users can’t belong to two organizations at once: Users can only be added to a new organization after being removed from their current organization.
  • No historical data is moved: Past meetings and events won’t transfer. Future meetings will still appear in the Meetings page.
  • Billing records stay with the original organization: These are kept for tax and record-keeping purposes.
  • Polls aren’t moved: Any in-progress polls will be deleted during migration.
