How to set meeting limits

 

You can use meeting limits to control how many meetings can be booked with you in a set time frame. Calendly offers two types of meeting limits:

  • Limits for an Event Type - control how many times a specific Event Type can be booked.
  • Limits across all of your Event Types - control how many total meetings can be booked through your account, across all event types.

Meeting limits help you prevent overbooking and protect time for other priorities.

Before you begin

  • You can set up both types of meeting limits. Whichever limit is reached first will make you unavailable to invitees.
  • Admins can view host limits in the Event Type editor, user profile, and Troubleshoot Tool, but they can't create or edit them. Users must manage their own limits.

Set meeting limits for an Event Type

Limit how many times a specific Event Type can be booked per day, week, or month.

  1. Go to the Scheduling page.
  2. Find the event type and select it to open the editor.
  3. Select More options and open the Limits and buffers section.
  4. Under Meeting limits, select + Set limit.
  5. Set the maximum number of meetings that can be booked per day, week, or month.
  6. When you're done, select Save changes.

Set meeting limits across all of your Event Types

Limit the total number of meetings booked through your account per day, week, or month.

  1. Go to the Availability page > Advanced settings tab.
  2. Under Meeting limits, select + Add a meeting limit.
  3. Set your maximum number of meetings that can be booked per day, week, or month.
  4. Your settings will be saved automatically.

Troubleshooting meeting limits

If your availability disappears unexpectedly, it may be due to a meeting limit being reached.

You can use the Troubleshoot Tool to check for possible causes. If a meeting limit is blocking availability, you’ll see an error code.

Limits for an Event Type

  • DAILY MAX
  • WEEKLY MAX
  • MONTHLY MAX

To fix it, go to the Event Type settings and increase or remove the limit.

Limits for a host

  • MEETING LIMIT

To fix it, go to your Availability page and increase or remove the limit. Admins are unable to edit these limits.
