How to view calendar meetings in Calendly

See all your meetings in one place and use Notetaker for meetings scheduled from your connected calendar.

After you turn on this feature, meetings from your connected calendar will show up on your Calendly Meetings page. You’ll see the meeting name, location, and invitees.

Before you begin

  • Only users who have Notetaker turned on can see meetings from their connected calendar on the Meetings page. Enable Notetaker for your meetings.
    • Only meetings added to the sub-calendar where Calendly is set to add new events will pull into your Meetings page. Check your calendar settings.
  • Notetaker can record Zoom, Google Meet, and Microsoft Teams meetings, regardless of whether you're the host or if the meeting was scheduled through Calendly or your connected Calendar.

View calendar meetings in Calendly

  1. Go to your Meetings page.
  2. Open the Filter dropdown.
  3. Select View advanced filters.
  4. Under Scheduling method, check Scheduled via your connected calendar.
  5. Select Apply.

Sync changes from your calendar to the Meetings page

You can set Calendly to update your Meetings page whenever you change the date or time of an event on your connected calendar.

Turn on automatic syncing

  1. Go to Availability and select Calendar settings.
  2. Confirm which sub-calendar Calendly adds new events to.

    • This is the only calendar Calendly uses to pull in events.

  3. At the bottom of the page, check Automatically sync changes from this calendar to Calendly.

What syncs (and what doesn't)

  • Date and time changes sync automatically.
  • Location changes do not sync.

If you need to change the meeting location for a session where Notetaker should join, delete the event from your calendar and create a new one with the correct location.

Frequently asked questions

Why aren’t my external events showing on the Meetings page or being used by Notetaker?

If your external (non-Calendly) events aren’t appearing on the Meetings page or Notetaker isn’t joining them, your calendar sync setting may be turned off.

To fix this:

  1. In Calendly, go to Availability.
  2. Select the Calendar settings tab.
  3. Under Sync settings, select Automatically sync changes from this calendar to Calendly.

After you turn on sync, allow a few moments for your events to appear. Once synced, Notetaker will use those events automatically.
