How to share your availability with Gmail or Outlook in Calendly

Use Calendly’s Share availability feature to send your scheduling link from your connected Gmail or Outlook account. This helps the email feel more personal and recognizable to invitees. You can also choose to automatically send a reminder email if the invitee hasn’t scheduled in 1, 3, or 7 days.

Before you begin

Share availability from the Scheduling page

  1. Go to the Scheduling page in Calendly.
  2. Find the event type you want to share and hover over it to see more options.
  3. Select share-arrow-icon.png Share availability to open the email composer.
  4. In the To field, add your invitee's email address.
  5. (Optional) Customize the message and turn on the reminder email. 
  6. Select Send to share your availability.

Share availability from the Contacts page

Make sure your contact is already in your list. If they’re not, add them as a contact first.

  1. Go to the Contacts page in Calendly.
  2. Find your contact and select share-arrow-icon.png Share availability.
  3. Choose an event type and select Next.
  4. (Optional) Customize the message and turn on the reminder email. 
  5. Select Send to share your availability.
