User management

Admins can manage users on the Users page by adding or removing users, changing user roles, and handling pending invites. This article explains how to complete these tasks to help you manage your organization.

Add or remove users and seats

Owners and admins can manage users and seats across the organization. For detailed steps, check out this article

Change roles

You can update a user's role by making them a regular user, admin, or the organization owner. For more details about roles, check out this article.

  1. Navigate to the Users page.
  2. Find the user whose role you want to change.
  3. Select the three dots menu next to their information.
  4. Choose Change Role
  5. Choose User, Admin, or Owner from the dropdown menu.
  6. Select Apply to confirm.

Notes about transferring ownership:

  • There can only be one owner per organization.
  • When you transfer ownership, the original owner will become an admin.
  • If your shared or team event types use a payment integration, such as Stripe or PayPal, the new owner will need to reconnect their payment provider on their Integrations page.

Making changes in bulk

To make changes to multiple users at once, select the checkbox next to each user’s name. A bulk action toolbar will appear at the top of the page with the following options:

For active users:

For pending users:

  • Remove
  • Resend invite

Remove a pending user

  1. Navigate to the Users page.
  2. Go to the Pending tab.
  3. Find the user you want to remove.
  4. Select the three dots menu next to their information.
  5. Choose Remove.
  6. Select Yes to confirm.

Resend an invite for a pending user

If a user remains in pending status for 7 days, Calendly will automatically resend the invite. This automated reminder is sent once, but you can manually resend the invite anytime.

  1. Navigate to the Users page.
  2. Go to the Pending tab.
  3. Find the user you want to resend the invite to.
  4. Select the three dots menu next to their information.
  5. Choose Resend invite.

Export a list of organization members

Owners and admins can download a CSV file with details about members in their Calendly organization. The report includes:

  • Name
  • Login email
  • Role
  • Calendly link
  • Date added
  • Calendar connection status
  • Date of their last meeting (based on invitee booking)
  • Days since their last event
  • Total events scheduled in the past 30 days (including canceled events)

Steps:

  1. In the Admin center, go to Users.
  2. Select Export.
  3. Choose either Active or Pending users.

A CSV file will be downloaded to your computer.
