How to set your availability on mobile

With the Calendly mobile app, you can manage your availability on the go. Create schedules, update existing ones, and set custom hours for a single event type in just a few taps.

Create a schedule

Saved schedules are reusable across multiple event types. If you only need hours for one event, you can set a custom schedule.

  1. Open the Calendly app.
  2. Tap your Account icon > Availability.
  3. Tap Create new schedule.
  4. On the Hours tab, set the recurring weekly times you want to be available.
    • Select the days you want.
    • Turn on Use same hours for all days to apply one set of hours across them.
  5. Adjust time blocks as needed:
    • Tap a block to change its start or end time.
    • Add another time block by tapping the + icon.
    • Remove a time block by selecting the trash can icon.
  6. On the Overrides tab, set exceptions for specific dates without changing your weekly hours.
  7. When you’re finished, tap Save.
  8. Enter a name for your schedule, then tap Save.
  9. Choose the event types you want this schedule to apply to, then tap Done.

Edit a schedule

From your Availability settings

  1. Tap your Account icon > Availability.
  2. Tap the schedule you want to edit.
  3. Update your availability:
    • Use the Hours tab for recurring weekly times.
    • Use the Overrides tab for specific dates.
    • Change, add, or remove time blocks the same way as when creating a schedule.
  4. Tap Save.

From an event type

  1. From the homepage, select an event type.
  2. Tap Edit meeting type > Availability.
  3. Under Schedules, find your schedule and tap Review and edit.
  4. Tap Save.

Manage a schedule

From the Availability page, tap the three-dots-icon.png three dots next to a schedule to see more options:

  • Rename – change the name of the schedule.
  • Set as default schedule – make this the schedule that applies to new event types by default. Your default schedule is marked with a star icon and is listed at the top of the Availability page.
  • Duplicate – copy the schedule and make a new one with the same hours.
  • Review linked event types - see which event types are using this schedule. From here, you can also assign or remove event types.
  • Delete – permanently remove the schedule. Event types that use this schedule will keep those hours as custom availability unless you reassign them first.

Use a custom schedule for an event type

A custom schedule is availability you set just for one event type. It does not become a saved schedule that can be reused elsewhere.

  1. From the homepage, select an event type.
  2. Tap Edit meeting type > Availability.
  3. Under Schedules, scroll down to the bottom of the list and tap Use a custom schedule.
  4. Set your hours on the Hours tab (recurring weekly times) or the Overrides tab (specific dates).
  5. When you’re finished, tap Save and apply.
