How to manage availability for your users

Admins and users with editing permissions can update availability for personal and shared event types on behalf of other users.

Before you begin

To manage availability, you must either:

  • Be an admin or owner, or
  • Have editing permissions for the event type

Update a personal event type

Use these steps to update the availability of a personal event type for another user:

  1. Go to the Home page.
  2. Open the My Calendly dropdown.
  3. Select the user whose availability you want to manage.
  4. Choose the event type you want to update.
  5. Expand the Availability section.
  6. From the Schedule dropdown, select Custom schedule.
  7. Adjust the hours as needed.
  8. Check the time zone under Weekly hours.
  9. To add date-specific hours, select + Hours under Date-specific hours.

Update a shared or team event type

You can manage availability in two ways:

  • By host – customize each host’s availability
  • For all hosts – set the same schedule for everyone

Follow these steps:

  1. Go to the Home page.
  2. In the My Calendly dropdown, select the team or user.
  3. Choose the shared or team event type.
  4. Expand the Availability section.
  5. Using the Schedule dropdown, choose to set hours by host or to set the same hours for all hosts

Set availability by host

  1. Select each host’s name to view their individual schedule.
  2. Use the Schedule dropdown to select Custom schedule.
  3. Adjust each host’s hours.
  4. Want to reuse availability from another event? Select the Apply to/from event types icon.

Set availability for all hosts

  1. Choose Set the same hours for all hosts.
  2. Use the Schedule dropdown to select Custom schedule.
  3. Adjust the hours as needed.
  4. Confirm the correct time zone.
  5. To add one-time hours, select + Hours under Date-specific hours.

Note

You can’t apply or copy hours to Collective or Round Robin event types when all hosts are set to share the same availability.
