How to manage availability for your users

Admins and users with editing permissions can manage availability for personal, shared, and team event types on behalf of other users. 

Before you begin

  • You must be an owner/admin or have editing permissions for an event type to make changes to the availability settings of the event type. For more information on event type permissions, see here

Additional user personal event types

  1. From the home page, select your desired user from the My Calendly dropdown menu.
  2. Locate and select the event type you wish to update the availability for.
  3. Expand the Availability section in the event type editor. 
  4. If the event type is using the host's default schedule, select the icon to Disconnect the default schedule.

  5. Under Schedule, you can create custom weekly hours, apply hours to/from other event types, or reset the event type to the host's default hours. 
    • To create custom weekly hours, adjust the available hours in the editor. 
    • To apply or reset hours, select the three vertical dots next to the View calendar button.
  6. Be sure to set the correct time zone beneath the weekly hours.
  7. To add time outside of weekly hours, select + Hours at the bottom of the Availability section to add Date-specific hours.

Shared and team event types

  1. From the home page, select your desired team page or user from the My Calendly dropdown menu.
  2. Locate and select the event type you wish to update the availability for.
  3. Expand the Availability section in the event type editor.
  4. Under Schedule, you have the choice to set availability by host or to set the same hours for all hosts.

    • When setting by host, you will be able to expand a dropdown for each host to set their availability. If the event type is using a host's default schedule, select the icon to Disconnect the default schedule.

    • When setting for all hosts, you will set availability once for all assigned hosts. 
  5. In the editor, you can create custom weekly hours, apply hours to/from other event types, or reset the event type to the host's default hours.
