How to create a One-off meeting

Use a One-off Meeting to host a one-time, high-priority meeting that doesn’t fit your regular event types.

Before you begin

If you’re using video for your meeting, connect your video platform on the Integrations & apps page first.

What’s a One-off meeting?

A One-off meeting lets you schedule a one-time event that doesn’t follow your regular settings. You can choose custom timing, hosts, and location.

Use it when you want to:

  • Set up a one-time meeting with one or more hosts
  • Offer times outside your usual availability
  • Prioritize a meeting over existing events

Note: You can only offer time slots within a 3-month window.

Create a One-off meeting

  1. Go to your Home page.
  2. Select + Create, then choose More ways to meet > One-off Meeting.
  3. On the Choose the times you want to offer page:
    • Pick the duration from the dropdown.
    • Choose the schedule you want to use.
    • (Optional) Add up to 9 additional hosts from your organization.
  4. Pick time slots from the calendar.
    • You can select time slots over non-Calendly events.
    • You can also choose slots outside your available hours.
    • To select all free times for a day, choose Add all.

Note: Buffers and meetings appear as one block. For example, a 30-minute buffer + a 30-minute event shows as a 1-hour block.

Customize your meeting

  1. After choosing time slots, select Next.
  2. On the New one-off meeting page:
    • Edit the meeting name (this shows in the email body, not the calendar title).
    • Pick a location.
    • Choose an invitee language if needed.
    • Add a description or instructions.

Reserve times

Turn on Reserve Times to hold the slots you offered.

  • This blocks time on your calendar (and your co-hosts’ calendars) with placeholder events.
  • Once your invitee books, those placeholders clear, and the meeting appears on your Meetings > Upcoming page.

Note: Clearing might take a few minutes.

To clear reserved times manually:

  1. Go to Home > Meetings > Pending.
  2. Select Details next to the One-off Meeting.
  3. Select Clear reserved times, then confirm.

Share the One-off meeting link

  1. On the Add your meeting details page, select Publish meeting.
  2. Edit the end of the scheduling link to personalize it.
  3. To preview the time slots, select Preview Availability.
  4. To share by email:
    • Select Add times to email > Copy to clipboard.
    • Paste them into your message.

To just copy the full link, select Copy link.

Where to find your One-off meeting

After sharing your link, you’ll find the meeting under Meetings > Pending.

Once your invitee books it, the meeting moves to the Upcoming section.

FAQs

Can I reuse a One-off Meeting link?

No. It expires after it’s booked and can’t be used again.

Can I apply Workflows to One-off Meetings?

Not yet. Workflows only apply to regular event types.

Will Reserve Times affect my other event types?

Yes. Reserved slots won’t appear as open on your regular booking pages. Use the Troubleshoot tool to confirm.

Can I clear only some reserved time slots?

No. When you clear reserved times, all placeholder events are removed at once.
