How to sync meeting data to Marketo

Calendly syncs meeting data to Marketo, updating lead records automatically and enabling triggers for Smart Lists, re-targeting, and new campaigns. To learn more about syncing meeting data to Marketo, check out this article.

Before you begin

To sync Calendly event data to Marketo, you must meet the following requirements:

• Marketo API user with read and write permissions.
• Marketo account with no more than 8 custom activity types.
• Syncing meeting data to Marketo is only available for organizations on our Teams and Enterprise plans. Check out our Pricing and plans page for more information.
• Only organization owners and admins can enable syncing meeting data to Marketo from the Integrations page.

Connect Calendly and Marketo

1. Go to the Integrations page.
2. Select the Marketo integration.
3. Enter your Marketo credentials (Client ID, Client Secret, and Munchkin ID#).

4. Select Save.

When you're ready to start syncing data to Marketo, turn on Syncing data.

Custom Activities in Marketo

When Syncing data is enabled in Calendly, two Custom Activities are created in Marketo:

• Calendly Submit Routing Form
• Calendly Schedule Event

To view the activities:

1. In Marketo, go to the Admin panel.
2. Under Database Management, select Marketo Custom Activities.
3. You’ll see the two Calendly activities listed in the sidebar.

Lead matching in Marketo

When a Marketo form linked to Calendly is submitted or a Calendly event is scheduled, the data is sent to Marketo and logged as an activity under the lead. Calendly searches for the lead in Marketo using the provided email address.

• If a match is found, the lead’s record is updated with the form submission and/or meeting.
• If no match is found, Calendly does not create a new lead, and no activity is logged.

To view the data:

1. In Marketo, go to the Database panel.
2. Under System Smart Lists, select All People.
3. From the People tab, select a person.
4. Open the Person Actions menu and select View Person Details.
5. Go to the Activity Log tab to view Calendly activity.
