How to connect your calendar

Whether you're currently in the beta or not, you'll find the information you need to connect your calendar here in this article.

Connecting your calendar to Calendly allows you to check for conflicts and seamlessly add scheduled Calendly events to your calendar.

If you connect your calendar to Calendly, you will enjoy several advantages.

  • Stay organized since Calendly meetings will automatically be added to your calendar.
  • Save time and effort by automatically syncing your pre-existing meetings with Calendly.
  • Prevent unwanted double bookings, saving you the hassle of having to reschedule or cancel conflicting appointments.
  • Makes team scheduling easy for Collective and Round Robin events.

If you are using our Free Plan, you have the option to connect one calendar to your Calendly account. However, if you have one of our paid plans, you can connect up to six calendars to your Calendly account. For more information on our plans and pricing, please visit our pricing page here.

Connect your first calendar

Beta

For users in the beta, you can find your calendar settings on the Availability page in the left side menu.

From the Availability page, you will be able to select your Calendar settings section to view and manage your calendar connections. 

1. On any Calendly page, select your profile picture in the upper right corner of your screen, and select Calendar Sync.

2. Select Connect next to the type of calendar you will be connecting and follow the onscreen prompts.

Connect additional calendars

1. On any Calendly page, select your profile picture in the upper right corner of your screen, and select Calendar Sync.

2. Select + Add Calendar Account.

3. Select Connect next to the type of calendar you wish to connect and follow the onscreen prompts.

Configuring your Calendar

Check for Conflicts

Calendly will check your calendar in real-time to ensure that there are no conflicts before allowing someone to schedule a meeting with you. This ensures that any meetings marked as "busy" on your calendar are removed from your scheduling page, preventing unwanted double bookings. Don't worry, no one can see the details of your whole calendar — Calendly only shows the times you’re available.

To configure which calendar(s) are being checked for busy events, take a look at the settings on your Calendar Sync page. If there are multiple sub-calendars within your connected calendar, choose which you would like Calendly to check for conflicts by selecting Edit in the Check for Conflicts section.

Add to Calendar

When someone schedules a meeting with you using Calendly, it will automatically be added to the calendar you have selected in the Add to calendar section on your Calendar Sync page. Currently, Calendly can only add events to one calendar.

Note

At this time, Calendly can only add meetings to one calendar.

To streamline event cancellations, Calendly allows you to cancel an event directly from your connected calendar. You can enable this feature in the Add to calendar section by selecting Sync cancellations. When enabled, any Calendly event you decline or delete from this calendar will be canceled within Calendly.

If an invitee makes the same changes on their calendar, the event will not be cancelled.
