Email notifications

You can absolutely use our Zapier integration to send a zap that will create a calendar event when a Calendly event is booked! This can let you publish to more than just one calendar, but the event will still publish to your calendar that is set on your Calendar Connection Page. The Zapier integration option requires the Premium or Pro version of Calendly. Additionally, if you want to use filters to create zaps for only certain event types (so that only personal events are published to your personal calendar, for example), that will require a paid Zapier account.
You could also set up a forwarding filter in your inbox to automatically forward all emails received from notifications@calendly.com. You can even forward notifications for specific event types by filtering for subject titles that include the event type name. This will allow them to be notified when an invitee schedules with you!

Hi Everyone!
Calendly can only send email confirmations to the email address you use to login with. However, if you would like Calendly notifications to be sent to a secondary address, you can set up a forwarding filter in your inbox to automatically forward all emails received from notifications@calendly.com.
You can even forward notifications for a specific event type by filtering by subject titles that include the event type name.

Hi there,
The email address you use to login to Calendly with is the email address that all notifications will be sent to. This is also the email address that will be in the 'reply-to' field on email confirmations.
If you are using calendar invitations for your Invitee notifications, the invite will be sent directly from the calendar you have connected on your Calendar Connection page.
@Laura, if you'd like to change your authentication preference from Google SSO, please reach out to support@calendly.com and they can make that change for you in about 3 clicks! Changing your authentication preference does not affect anything on your account other than your preferred way to login. :)

Could we work on a feature where we could send appointment notifications to multiple emails?
I am marketing with a client that is getting appointments scheduled but I would like to be able to see when these appointments are scheduled so that I can crosscheck where these leads are coming from.

I understand that Calendly will only send email confirmations to the email address that is used to login. I understand that a forwarding filter can be setup in the original recipient's inbox to automatically forward all emails received from notifications@calendly.com to a secondary address.
However, this does not solve my need and what appears as the need for a few other clients.
Can we have a wishlist item submitted to the development team for the ability to have all scheduling notifications sent to an admin as well? The business purpose for this would be for when an individual such as myself is managing account assignments. Our system goes off of a round robin where clients are able to schedule an appointment with a representative. The current system is hard to manage because I have to manually go through and see what appointments were assigned to who. I could have all of my service reps setup a forward to my email but having that many individual contributors do this would be a challenging undertaking.
I'm happy to clarify or discuss further as this would be a massive help for me and others in this thread if I am understanding their comments.

I am also looking to be able to have specific appointment confirmation sent to a different email than my sign in email. I am using Calendy to schedule tests, interviews and consultations all of which are being handled by different people. I need an option to direct appointment confirmations to specific and relevant emails. Thanks!

With Calendly, there are two types of notifications: Email Confirmations & Calendar invitations.
With Email Confirmations, Calendly sends the invitee an email notification which has a reply-to address that's associated with your Calendly login email.
With Calendar Invitations, your connected calendar sends the invitee a notification of the booked meeting which has a reply-to address that's associated with your connected calendar.Modifying your Invitee Notification type will change who sends the email (Calendly vs. Your Calendar, if applicable) as well as what address is used as the reply-to email (your login email, or email associated with your calendar.)
To touch on another aspect of email notifications: For those of you looking to allow your invitees to add guests to meetings they book with you––we've been researching this for quite a few months and we're thrilled to announce that the ability for your invitee to add guests is now rolled out to all of our users.
Invitees will now be able to add up to 10 email addresses to the meeting they book with you. The email confirmation will be sent to those guests and they, too, will have the ability to add the event to their calendar!

While there's no way to disable notifications in Calendly, we've found that some users have found success by blacklisting our sending address and/or having their invitees do so as well. With that being said, we'd advise against this so that everyone is kept in the loop about changes made to the scheduled meeting.

Blacklisting is not a viable approach as it would require every client to block an email address from where legitimate emails may come (just don't want calendly to send the email). This is also useful for companies where we use other email marketing tools.
For me right now, it's easier to have an option to disable all notifications and use zapier to send the actual invite.
However, I still need to be able to turn off all notifications to the attendees since the emails include add to calendar buttons and is duplicative as someone mentioned earlier. I think this ability would make it easier to use other systems like zapier to customize for cases calendly does not yet or plan to support.
Specific features that would help -
- Turn off all notifications to attendees.
- Turn off the add to calendar buttons in emails
- For a Event type, add fields for a list of attendees to include in each event.

I need our sales reps to receive a notification when the calendar links are actioned upon and/or have not been actioned upon. As our sales reps send the calendar link to our leads to book their demo with cust. success team, they need to be notified in case further action is required. The forwarding filter would work if there was just one sales rep, but as we have plenty it does not solve our issue. Please advise if this can be done. Thank you!

We only send a notification to the user who has been booked with. I do not have another option at this time, but since there are multiple users, perhaps you can set up multiple forwarding filters so that all sales reps are notified. Of course, though, this would require a combination of different forwarding filters depending on which sales rep is notified (and about which event.)

As this has been stated, but a solution hasn't been provided, I'd like to add to the voices.
I've just started using Calendly and would like further features added to the emails. Depending on the type of appointment that is scheduled, different team members need to be notified. Setting up a blanket forwarding approach doesn't work for me.
Also, if a client wants to ask follow-up questions about their appointment, they need to be able to reply to the right person. Being able to adjust the "reply to" field would be extremely helpful.
Please listen to your clients and work on these features.

I have been an invitee to multiple meetings using Calendly. I have always received a confirmation. This time however, I did not. I went back to the account of the woman that I was supposed to be having the interview with, but then found out that the page had been greyed out, and it was not listed as who was supposed to be having the interview. I just need to know if it is my interview, or if it was somebody else's. Calendly has my account information so I am just trying to find confirmation for this 1 account and I don't know where I'm supposed to find that information please help!
