Meeting Polls overview

Calendly Meeting Polls help you quickly find a time that works for everyone. Invitees vote on the times they prefer, and once voting ends, you pick the best option. Calendly takes care of the scheduling and invites.

For example, you can:

  • Plan a team sync or project check-in
  • Brainstorm ideas in a collaborative session
  • Collect feedback from stakeholders
  • Choose a time to meet with friends or family

Before you begin

  • Anyone with the poll link can vote—no Calendly account needed.
  • Meeting Polls support up to 40 time slots and 40 participants.
  • You can’t add new time slots after publishing the poll.
  • Workflows and rescheduling aren't currently supported.

How Meeting Polls work

Who can vote?

Anyone with the poll link can submit votes—even without a Calendly account.

How to schedule the meeting

  1. Once voting ends, review results and select book-meeting-calendar-icon.png Book next to the best time.
  2. (Optional) Select + Add Invitee to add any invitees who didn’t vote.
  3. Select Book Meeting—Calendly will send calendar invites with all meeting details.

When does a poll close?

A poll closes when:

  • You book the meeting
  • All proposed times pass
  • You delete the poll

If deleted, the poll link becomes inactive and voting is disabled.

Frequently asked questions

Can I use Workflows with a poll?

No. Workflows like reminders aren’t supported.

Can I add more invitees when booking?

Yes. You can include invitees who didn’t vote by selecting + Add Invitee during the booking process.

Can participants change their votes?

No. Votes are final once submitted.

Can I book over Calendly buffers or external events?

You can book over buffers. Conflicts with external events will be flagged, but the time remains visible. Conflicts booked through Calendly are not able to be booked over. 

What do invitees receive after booking?

A calendar invite with meeting details.

Can invitees see who else voted?

Only if Show votes on page is turned on. Otherwise, they’ll only see attendees in the invite.
