Use Workflows to send emails directly from your Gmail or Outlook account. Replace the default sender address (notifications@calendly.com) with your own email to provide a more personal touch. This allows recipients to easily reply to you and keeps a record of your communication in your “Sent” folder. Currently, this option is only available for personal event types.
Steps to integrate your Gmail or Outlook account
Set up Gmail for Workflows integration
- Navigate to the Integrations page, select Gmail for Workflows.
- Select Connect Gmail.
- Accept the Permissions Requested. The "Send email on your behalf" permission must be enabled for the integration to work.
Set up Outlook for Workflows integration
You’ll need a web-based Office 365 or Outlook.com account to use this feature. Each user can connect only one Outlook account to the Outlook for Workflows integration. Exchange accounts and the Outlook Plug-in are not supported.
- On the Integrations page, select Outlook for Workflows.
- Select Connect Microsoft Outlook.
- Accept the Permissions requested.
After integrating your Gmail or Outlook account
After you integrate your email account, apply it to your Workflows. When creating or editing a Workflow, go to the email action settings. Under What email address should this email be sent from?, select your Gmail or Outlook account.
Once set up, all new emails sent through Workflows will use the selected email account as the sender.

What happens if I connect both Gmail for Workflows and Outlook for Workflows?
If both accounts are connected, Calendly defaults to sending emails from notifications@calendly.com.
Why didn’t my invitee’s reply go to my Gmail or Outlook email address?
Check your Workflow settings to verify the “send from” address is set to your Gmail or Outlook email. If notifications@calendly.com is selected, replies will go to the email address associated with your Calendly login.
Can I use an email alias in Outlook to send Workflow emails?
Calendly defaults to the primary email address associated with your Outlook account, even if you have an email alias.
How can I verify if a Workflow email has been sent?
For Workflow emails sent from Outlook, check your “Sent” folder in Outlook. You can also review the Timeline on the Meetings page in Calendly to confirm when the email was sent.
