Changing your available hours

To keep up with the demands of your busy lifestyle, change the weekly hours within your schedule at any time from the Availability page. Changes made to your schedule are automatically reflected in any event type that uses that schedule.  

Before you begin...

  • This article covers using Calendly Schedules to manage your availability. If you are unfamiliar with Schedules please reference this article.
  • Remember that any busy events on your calendar(s) will be viewed as a conflict and automatically mark you as unavailable, even if the weekly hours you've set in your Calendly schedule specify that you are available during that time. (e.g. If your Calendly schedule specifies that you are available between 9:00 am and 5:00 pm but you have a busy event on your  calendar from 10:00-11:00 am, you will not be shown as available during that hour.) 

You can view and edit your schedule in List view or Calendar view: 

  • List view is best if you have recurring weekly availability.
  • Calendar view is best if you have date-specific availability.

How to edit your schedule in List view

  1. Select Availability at the top of any Calendly page.
  2. If you have multiple schedules, select which one you would like to edit at the top of the page.

  3. If your schedule is in Calendar view, switch it to List view by selecting the List view icon.

  4. Select the checkbox next to the days you're available. De-select the days you're unavailable. 

  5. In the boxes, select the start and end times you’re available each day. 

  6. To add multiple intervals (time frames), select the + and enter the times you’re available. 

    • Multiple intervals are useful to ensure that you won't be booked when you are eating lunch, at the gym, or taking a break during the day. (e.g. Create an interval from 9:00-11:30 am and then create a second interval from 1:00-5:00 pm to accommodate for a lunch break.)

  7. To delete an interval select the trashcan icon. 
  8. If your available hours are recurring, select the copy icon and select the checkbox next to the days you wish to copy times to and select Apply.

  9. Update or add any available hours on specific dates by selecting Add date overrides. 

    • Adding a date override is useful for when you have exceptions to your weekly hours. (e.g. When you know you will be out of town on a specific date and you won't be available on that date.) 

How to edit your schedule in Calendar view

  1. Select Availability at the top of any Calendly page. 

  2. If you have multiple schedules, select which one you would like to edit from the top of the page.

  3. If your schedule is in List view, switch it to Calendar view by selecting the Calendar view icon.

  4. Select the first date you would like to edit on the calendar and select Edit date(s). To edit multiple dates in a row, select and drag. (e.g. Select on Sunday and drag until Saturday to edit your availability for an entire week.)

  5. If you don't need to edit multiple dates in a row, select Edit date(s) and then select multiple dates on the calendar to edit them all at once.

  6. In the boxes, select to update the start and end time you’re available each date. 
  7. To add multiple intervals (time frames), select the + and enter the times you’re available.
  8. To delete an interval select the trashcan icon. To specify that you are unavailable, delete all intervals.  
  9. Select Apply to save your changes.
