What is the Outlook Plug-In?

The Outlook Plug-In, sometimes called the Calendly Plug-in for Outlook or the Outlook Desktop Plug-In, is a Windows application that connects your local Outlook desktop calendar to your Calendly account. 


Who should use the plug-in? 

If you use a web-based Microsoft calendar, like Outlook.com, Office 365, or Exchange, we recommend connecting your calendar directly from your Calendar Connections page, instead of installing the plug-in. However, if you cannot use a web-based version of your Microsoft calendar, you can use the Outlook Plug-In to connect to your local Outlook calendar on your computer. 

How does the plug-in work?

The plug-in runs locally in the background of your computer. Therefore, both your computer and plug-in need to be running for your calendar to sync successfully.

Compatible versions

The Outlook Plug-in is for Windows only and is not available for Mac. Calendly's Outlook desktop plug-in works with:

  • Outlook 2007 or later
  • Windows XP or newer

Calendly's Outlook plug-in is not compatible with Outlook versions downloaded from the Microsoft/Windows store. Outlook must be downloaded from your O365 account in order to be compatible with the Outlook plug-in. 

Outlook plug-in vs. Outlook add-in

The Outlook plug-in is connects your Outlook calendar directly to Calendly, to check for conflicts and add events. The plug-in is separate from the Outlook add-in, which allows you to access and share your scheduling links and availability from your Outlook toolbar.

How to install the plug-in

  1. Navigate to your Calendar Connection page from the drop-down menu on the top right corner of your page.
  2. Locate the option for the Outlook plug-in and select Connect.
  3. Download the plug-in and save the file.
    Note: If you see a security pop-up, be sure to allow permissions to begin installing. Depending on your browser, you may need to locate and open the downloaded file to run the installation.
  4. Calendly will generate a unique key for you to copy and paste into your plug-in settings. Enter your plug-in key.
  5. Select which calendar accounts you would like to check for conflicts. You will be considered unavailable during any busy events added to these calendars, and the corresponding times will be removed from your scheduling page.
  6. Finally, choose the calendar you would like newly scheduled events to be added to and save the changes.
  7. Select Save.

To initiate communication between the plug-in and your events, click the button to Sync Now in the bottom left corner of the plug-in window. The date and time will appear to show that your events have successfully synced between Outlook and your Calendly account.

The plug-in will only sync when it is running in the background and your computer is connected to the internet. That being the case, you can only connect one plug-in per account.

How to upgrade Office

A recent Office 365 update may impact the functionality of Calendly's Outlook plug-in and Microsoft has issued a solution for this issue. If you are experiencing failures with the Outlook plug-in, please upgrade to the latest version of Office by following these steps: 

1. From Microsoft Outlook's File menu, select Office Account.

2. In the Office Updates section, select Update Options, then select Update Now.

3. Let the update run, then reboot your PC.

If you continue to experience errors, please contact Calendly support and provide your current Microsoft version number.

I'm available during Out of Office or Away events

In your Outlook calendar, you can mark events as:

  • Free
  • Busy
  • Tentative
  • Working Elsewhere
  • Out of Office/Away

By default, Calendly will consider your Busy events as unavailable in Calendly, and your busy times won't show on your scheduling page.

If you would like for events with a status other than Busy to be considered unavailable, follow the below steps:

  1. Visit your Calendar Connection page.
  2. Select Check for conflicts.
  3. Select Edit.
  4. Check the options that Calendly should view as unavailable.
  5. Select Update.



If you notice your Outlook calendar events are not syncing to your Calendly account, begin troubleshooting by confirming the following:

  • You are operating with Outlook 2007 or later and on Windows XP or newer.
  • Your network connection is active, and the plug-in is running in the background of your computer.
  • You have visited your Calendar Connection page to make sure you have the most recent version of the plug-in. The latest version is 170.
  • You only have one plug-in connected.
