Learn what happens when you start a meeting with Calendly Notetaker, ensuring a seamless experience every time!
Before you begin
- Enable the Notetaker for your meetings.
- Notetaker works with meetings scheduled through Calendly or Google Calendar.
- Supported platforms: Zoom and Google Meet.
At the meeting start time:
- Calendly Notetaker joins your Zoom meeting.
- When the host joins, a banner appears at the top of the screen:
"This meeting is being recorded."
You’ll see:
- A button to select OK and close the banner.
- If you do, a “Recording…” icon and four small squares appear in the top right.
- If you don’t, the banner stays on screen.
Select the four squares to view this message:
Only the meeting host that included the Notetaker can remove it from the meeting.
If you are a meeting invitee and would like your meeting host to remove the Notetaker, please let them know.

Note
You can change what invitees see in Zoom by customizing the consent message.
Note: This must be done in Zoom settings, not Calendly.
You’re responsible for getting consent from invitees to record and transcribe meetings. Learn more in Zoom’s recording consent guide.
At the meeting start time:
- Notetaker enters the waiting room.
- You’ll see a message: “Someone wants to join this call.”
To let Notetaker in:
- Select View to open the Waiting to be admitted section of the People panel.
- Select Admit. Recording will begin.
To deny access:
- Select the
three dots beside the Notetaker’s name.
- Select Deny entry.
Only the meeting host that included the Notetaker can remove it from the meeting.
Once admitted:
- Notetaker sends a chat to confirm the meeting is being recorded.
- The message is pinned for visibility.
If you are a meeting invitee and would like your meeting host to remove the Notetaker, please let them know.
