Learn how to share AI Notetaker’s video recaps from Zoom meetings. Keep your team updated with summaries and key points!
For example, you can:
- Easily share the video link to a recorded meeting.
- Share recap summary, notes and a link to the recording via email, right from Calendly.
- Add a passcode to your video recordings.
Before you begin
- Owners and admins can turn on AI Notetaker for their team and choose who can turn it off.

New Meetings page
We've updated the look and feel of the Meetings page to help you better navigate past and upcoming meetings and to simplify the AI Notetaker experience.
Clicking on a scheduled meeting opens the details on the right side of your screen and shows editing options.

- Using the Cancel or Reschedule buttons will trigger a notification to your invitees informing them of the changes you’ve made.
- The answers to your invitee questions live under Questions.
- See when meetings were booked and when workflows have been triggered from the Timeline section.
- Take internal meeting notes (not visible to the invitee) under Notes.
- View and manage contact information by clicking the invitee name.
- Edit the corresponding event type that will impact future bookings by clicking the event type title.
How to share AI Notetaker recaps
- Go to your Meetings page.
- Find a Past meeting you want to share.
- Select View recap.
- In the AI recap page, select Share via email in the top right corner of the screen.
- Choose to Send a follow-up email to your invitee or Send to someone else.
How to share a recap video snippet
- Go to your Meetings page.
- Find a Past meeting you want to share a video snippet of.
- Select View recap.
- In the AI recap page, select Transcript.
- Locate and highlight the section of the transcript you want to send as a snippet.
- Select Share video snippet.
- Choose to Copy video link or Send as an email.
Note
To send recaps and snippets securely, you can add a passcode. You can also choose not to send the passcode in the email.
Syncing Data with Salesforce
On Calendly's Salesforce package 2.7, we've added a new object and flow template to help with seamless integration into your tech stack.
- The object contains a summary of the meeting notes and link to the full meeting recap (when a Calendly event uses the AI notetaker).
- When the flow is active, meeting notes from the Calendly event will be synced to the “event description” field on the Salesforce event record.
If you are not on 2.7, you can upgrade to the current version by visiting your Salesforce integrations page and selecting the banner to upgrade.
