How to enable AI Notetaker

Learn how to enable Calendly's AI Notetaker for Zoom meetings. Capture key points, summaries, and action items with ease!

To use Calendly's AI Notetaker, it will need to be enabled in the account settings and will need access to Zoom. For Calendly meetings, Zoom will also need to be set as the location.

Before you begin

  • Owners and admins can turn on AI Notetaker for their team and choose who can turn it off.
  • AI Notetaker records meetings on Zoom, whether they are scheduled from Calendly or your Google Calendar.

Step 1 – Connect AI Notetaker with Zoom

  1. Navigate to Account Settings, then AI Notetaker

  2. Select Get Started on the configuration page

  3. Continue to the prompt and Select Give Access to Zoom

  4. Log in to your desired Zoom account to connect

Step 2 – Set up recording rules or user permissions

As a user:

By default, AI Notetaker will record all Zoom meetings on your Google calendar. This includes meetings scheduled from Calendly and from your connected Google calendar.

You can also choose to:

  • Only record meetings of a specific event type
  • Disable automatic recording for meetings scheduled from your connected Google calendar 
  • Only record meetings with external invitees

As an admin: 

Owners and admins can decide who in the organization can turn off the AI Notetaker and set recording rules.

Step 3 – Assign Zoom as the event type location

AI Notetaker records Zoom meetings scheduled on a connected Google Calendar. To schedule your Calendly meetings with Zoom, follow these steps to set Zoom as your meeting location.

  1. From the Calendly Home page, select the event type you are looking to edit
  2. Select the Location drop down in the event editor
