Canceling an event
You can cancel an Upcoming event from the Scheduled Events tab on your Home page.
- From your Calendly Home page, navigate to the Scheduled Events tab.
- Expand the event Details.
- Select Cancel.
Calendly will give you the option to add a message to be included in an email notification informing the invitee of the cancellation. You do not have to include a message if you don't want to
Once finalized, the canceled time will become available in both calendars.
Note
Invitees can cancel an event using the cancellation button in the confirmation and reminder notifications they receive.
Rescheduling an event
If you know your invitee's availability, you can reschedule an event from Calendly via the Scheduled Events tab on your Home page.
- From your Calendly Home page, navigate to the Scheduled Events tab.
- Expand the event Details.
- Select Reschedule.
Once a new time is confirmed, both you and your invitee will be notified of the changes.

Unsure of your invitee's availability? Cancel the original event and re-share your Calendly link in the cancellation message.
Invitees can reschedule at any time from within their confirmation email or by declining a calendar invitation.
A note on round robin event types
Remember, if you are rescheduling a round robin event, make sure to NOT use the link from the original invitation. That link is for the the invitee ONLY, and using it may not select the correct host.
Changing event details
The rescheduling steps above will also allow you to change the event location (i.e., adjusting a physical address or changing from a phone call to a video conferencing link.) You would just select Reschedule, select a new location rather than a time, and send the notification.
If you need to make changes to the event type (changing a one-on-one event to a collective event), connected integrations, or workflows, you will need to Cancel the original event and re-send a new Calendly link.
Edit the invitee limit for a group event
If a scheduled group event reaches the invitee limit, visit the Scheduled Events tab on your Home page to allow more people to sign up. Remove or reschedule someone who is already attending, or increase the limit for this specific event.
To update the invitee limit for meetings scheduled moving forward, open the group event from your Event Types tab on your Home page and visit the What event is this? section. Enter the maximum number of invitee spots you want to offer for the event.
You can also choose to display remaining spots so invitees can see the number of spots left for each time slot on the event booking page.
Include cancel and reschedule links in notifications
Found in the Notifications and Cancelation Policy section of the event type settings, users have the option to include or remove cancel and reschedule links in the notifications sent to invitees.
Note: As an invitee, if you're not seeing the option to cancel or reschedule a meeting, the event host may have elected to removed this option from their meetings. To cancel or reschedule your meeting, you will need to reach out to the event host directly.
