Managing additional rules for your availability

We've improved availability management and the event type editor, now in public beta for select users. If you're in the beta, check out this article to learn more.

Whether you're currently in the beta or not, you'll find the information you need to manage additional rules for your availability here in this article.

 

Beyond things like connecting your calendar, event durations, and buffers, Calendly also has more nuanced rules for your availability. These options live within the Scheduling Settings of your event type editor

For user in the beta, you'll find options for managing your availability in the Availability section of the event type editor, as well as in the More options section.

Adjust your start time increments

  1. From your Calendly Home page, locate the event you want to edit and select it.

  2. Expand the Scheduling Settings section. At the bottom of the section, select the time labeled Start time increments.

  3. At Start time increments, select the frequency. The shorter the frequency, the more start time options your invitee sees.

For users in the beta, you can locate the Start time increments setting in the event type editor by selecting More options, then expanding the Booking page options section.

Limit daily bookings for a specific event type

  1. On your Calendly Home page, select the event.
  2. Expand Scheduling Settings.
  3. Scroll down to Daily limit.

  4. At Daily limit, enter the maximum number of times invitees can book this event type in a day.
  5. Select Save & Close.

For users in the beta, you can locate the Max meetings settings in the event type editor by selecting More options, then expanding the Limits and buffers section.

Prevent last minute bookings

  1. From your Calendly Home page, locate the event you want to edit and select it.

  2. Expand the Scheduling Settings section. 

  3. At Minimum notice, enter the amount of time that invitees cannot schedule before an event type.

For users in the beta, you can locate the Minimum scheduling notice setting in the event type editor by expanding the Availability section.

Set the time zone display for invitees

By default, Calendly will automatically detect your time zone as well as the time zone of the invitee, so you don't need to adjust it yourself! If you are meeting in-person, we recommend locking the time zone to the location of the event. Change Event Time Zone Display.gif

For users in the beta, you can locate the Time zone display setting in the event type editor by selecting More options, then expanding the Booking page options section.

Make an event secret

You have the option to make your event type secret. This will hide the event from your main scheduling page, and only make it available to invitees with whom you share the event type's link.Make Calendly Event Secret.gif

For users in the beta, you can make an event secret from your Home page by selecting the settings gear on the event type card, then selecting Make secret.

Set your booking date range

  1. From the Calendly Home page, find the event type you'd like to edit.
  2. Select the gear icon. Then, select Edit.

  3. Select Scheduling Settings
  4. At Date Range, choose:
  • A number of days into the future and specify the number of days into the future they can book and whether they are Calendar days (including weekends) or Business days (excluding weekends).
  • Within a date range, then select the box to choose a specific range of dates on the calendar.
  • Indefinitely into the future, to allow others to book time any time in the future.
