How to submit documentation for sales tax exemption

Some things to know before you get started

You may have the opportunity to upload an official tax exempt document depending on the state you select, but the document will not be validated immediately and you may still be billed sales tax on your next billing cycle.

To validate your tax exemption status immediately, fill out the Your Tax Information section in its entirety without leaving any empty fields and then select Purchase will be used by a religious or educational organization. Any other selection will result in your Calendly subscription being subject to state sales tax.

Then, fill out the Signer Information. The signature required does not have the be one from an authorized signer from your organization. This is just to verify that you are the one uploading the tax information.

When the tax exemption documentation is processed successfully, tax exemption status will take effect on the next billing cycle. Calendly does not offer refunds on sales tax that was billed before you submitted tax exemption documentation.

If you’re upgrading your Calendly subscription for the first time

When you upgrade your Calendly subscription for the first time, you can submit sales tax exemption documentation during the checkout process.

  1. From any Calendly page, select Account in the top right hand corner, then Billing.

  2. Select Upgrade now, then Upgrade to Premium or Upgrade to Pro.

  3. Add the number of seats you want and the billing cycle you prefer, then enter your credit card information.

  4. Under Total payment due, select Submit documentation.

  5. Enter the state on your billing address and Continue.

  6. At Your Tax Information, fill out the same information used on your tax exempt certificate or document, then Save and continue.
    Note: All fields are required for immediate sales tax exemption.

  7. At Select a reason for creating this document, choose Purchase will be used by a religious or educational organization, then Save and continue.

  8. At Business Information, select a reason for tax exemption.

  9. To process the exemption certificates, fill out the Signer Information along with your signature and Save and continue.

  10. Within the Upgrade to Premium section, you will see Tax exemption applied and your new tax-free bill total. When ready, select Upgrade to complete the process.

If you’ve already upgraded your Calendly subscription

If you’ve upgraded your Calendly subscription in the past or have become tax-exempt, you can submit documentation for sales tax exemption at any time on your Billing page.

  1. From any Calendly page, select Account in the top right hand corner, then Billing.

  2. Select Make changes to your plan, then Submit tax-exempt documentation.Screen_Shot_2021-07-12_at_4.32.41_PM.png

  3. Enter the state on your billing address and Continue.

  4. At Your Tax Information, fill out the same information used on your tax exempt certificate or document, then Save and continue.
    Note: All fields are required for immediate sales tax exemption.

  5. At Select a reason for creating this document, choose Purchase will be used by a religious or educational organization, then Save and continue.

  6. At Business Information, select a reason for tax exemption.

  7. To process the exemption certificates, fill out the Signer Information along with your signature and click Save and continue.
