Set up routing with Salesforce ownership

This article provides instructions on how to set up routing with Salesforce (SFDC) ownership lookup.

When connecting forms to event types within Calendly, you have two options:

  • You can use Calendly’s native routing logic (fixed answer responses). For more information on Calendly’s native routing logic, check out Getting started with Routing Forms.
  • You can use advanced routing logic using any field on the following standard objects in Salesforce. These objects include:
    • Account - Match visitor to their account owner in Salesforce.
    • Contact - Match visitor to their contact owner in Salesforce.
    • Lead - Match visitor to their lead owner in Salesforce.
    • Opportunity - Match visitor to their opportunity owner in Salesforce.

You can use SFDC lookup logic in combination with Calendly forms or 3rd party routing forms such as Marketo or Pardot.

Before you begin

Calendly Requirements

  • Routing with SFDC is only available for organizations on our Enterprise plan. Check out our Pricing and plans page for more information.
  • Only organization owners and admins can establish a SFDC form integration. However, owners and admins can grant edit permission on each individual form to specific users.
  • Routing using SFDC lookup logic requires the use of a managed event type.
    • The managed event type must be assigned to a Calendly user with the ability to own the SFDC objects described above (Account, Contact, Lead, Opportunity).

Salesforce Requirements

  • You'll need Salesforce Enterprise or higher edition.
  • You'll need Salesforce admin privileges.
  • The Calendly user needs to exist in Salesforce and have the ability to own the SFDC objects described above (Account, Contact, Lead, Opportunity).
  • User in Salesforce must have the same email in Calendly in order to be matched as an Owner

Add SFDC lookup logic to a Calendly form

  1. Select + New Routing form.
  2. Choose Create a new form and name your form.
  3. Add your question(s).
    • For example, First Name, Last Name, Email Address, or a variable answer like Location, Country, or Company Size.

  4. Navigate to the Routing Logic tab and select Add a Route.
  5. Configure your routing logic.
    • For more information on Calendly’s native routing logic, check out Getting started with Routing Forms. Additionally, check out Routing Forms Best Practices for information on best practices when creating routing forms.
    • While every SFDC instance is unique, we recommend users new to SFDC routing use the following configuration when getting started:
      1. IF: SFDC Lead
      2. Use Full Email Address to find Lead owner.
      3. Full email address matching field: Email
      4. Ownership Field: Lead Owner
      5. GO TO: Managed Event Type (Choose the managed event you set up that is applied to users within your SFDC instance.)

      6. Select Save.
      7. Select Publish form.

Add SFDC lookup logic to a Marketo or Hubspot form

  1. To set up SFDC routing from an existing Marketo or Hubpot form, begin by importing your form by following the steps in Set up routing from an existing Marketo form or Set up routing from an existing Hubspot form.
  2. Configure your routing logic.
    • For more information on Calendly’s native routing logic, check out Getting started with Routing Forms. Additionally, check out Routing Forms Best Practices for information on best practices when creating routing forms.
    • While every SFDC instance is unique, we recommend users new to SFDC routing use the following configuration when getting started:
      1. IF: SFDC Lead
      2. Use Full Email Address to find Lead owner.
      3. Full email address matching field: Email
      4. Ownership Field: Lead Owner
      5. GO TO: Managed Event Type (Choose the managed event you set up that is applied to users within your SFDC instance.)

  4. Select Publish form.

Add SFDC lookup logic to a Pardot form (NOT IN GA RELEASE)

  1. To set up SFDC routing from an existing Pardot form, begin by importing your Pardot Form by following the steps in Set up routing from an existing Pardot form.
  2. Configure your routing logic.
    • For more information on Calendly’s native routing logic, check out Getting started with Routing Forms. Additionally, check out Routing Forms Best Practices for information on best practices when creating routing forms.
    • While every SFDC instance is unique, we recommend users new to SFDC routing use the following configuration when getting started:

      3. Full email address matching field: Email
      4. Ownership Field: Lead Owner
